Frayji Design Group, Inc. is seeking an experienced Project Coordinator & Office Support professional to join our growing civil engineering, land planning, and surveying firm. This position plays a vital role in supporting project managers, company operations, technical staff, and executive leadership while helping ensure projects move efficiently from proposal through completion and maintaining the day-to-day operations of the office.

The ideal candidate is organized, dependable, proactive, and thrives in a fast-paced professional environment. This position requires exceptional communication, strong organizational skills, attention to detail, and the ability to successfully manage multiple priorities while maintaining a high level of professionalism.

DUTIES

The successful candidate will provide administrative support, office coordination, project coordination, marketing assistance, and operational support throughout the organization.

Project Coordination

Responsibilities include, but are not limited to:

  • Coordinate with clients, contractors, consultants, utility companies, public agencies, and city/county staff.
  • Prepare, assemble, and distribute project submittals, proposals, contracts, reports, exhibits, and correspondence.
  • Track project schedules, agency reviews, deadlines, approvals, and outstanding action items while maintaining project documentation and document control.
  • Prepare meeting materials, document meeting minutes, and follow up on action items to support successful project delivery.
  • Assist Project Managers with consultant coordination, project setup, plan distribution, and administrative support while ensuring projects adhere to company procedures and documentation standards.
Office Support

Responsibilities include, but are not limited to:

  • Serve as the primary point of contact for clients, consultants, vendors, and visitors while providing exceptional customer service.
  • Prepare correspondence, reports, presentations, and other business documents.
  • Coordinate calendars, meetings, conference rooms, and provide office support to company leadership and Project Managers.
  • Maintain office records, filing systems, office supplies, equipment, vendor relationships, and general office operations.
  • Assist with timesheet administration, accounting support, project deliveries, agency submittals, and miscellaneous business errands.
  • Coordinate company marketing initiatives, sponsor ships, networking events, and community outreach activities.
  • Take a lead role in planning employee appreciation events, celebrations, team-building activities, company functions, and other initiatives that foster employee engagement, strengthen workplace culture, and promote a positive, collaborative office environment.

Applicants must possess excellent written and verbal communication skills and be able to effectively communicate with clients, consultants, contractors, agencies, vendors, and coworkers while managing multiple priorities with minimal supervision.

QUALIFICATIONS

The successful candidate should possess:

  • Minimum of five (5) years of project coordination, office support, executive support, administrative, or office operations experience.
  • Engineering, surveying, architecture, construction, or land development industry experience preferred.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent verbal, written, and presentation skills.
  • Professional communication and customer service abilities.
  • Ability to prioritize multiple projects, work independently, and contribute to a collaborative team environment.
  • Valid California driver's license with a good driving record and reliable transportation.

Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint) is required. Experience with Adobe Acrobat, Bluebeam Revu, Microsoft Project, Monograph, or similar project management software is a plus.
