We’re looking for a highly organized, resourceful, and service-oriented Office Operations Coordinator to join our team. This position supports both Workplace Operations and People & Culture , helping ensure our corporate office operates efficiently while contributing to a positive, productive, and engaging employee experience.

What You’ll DoOffice Operations & FacilitiesCoordinate day-to-day corporate office operations and maintain a safe, professional, organized, and welcoming environment.
Maintain conference rooms, common areas , and shared office resources.
Serve as the primary liaison with property management and the point of contact for maintenance requests and facilities-related issues.
Coordinate office vendors and services, including copy and postage equipment, offsite storage, coffee and water service, and other workplace resources.
Manage employee access to secured office areas and coordinate workplace access needs.
Coordinate furniture, workstation assignments, office moves, workspace reconfigurations, and new employee office setups.
Manage inventory and ordering of office, breakroom, and meeting supplies.
Coordinate approved office equipment purchases and replacements.
Maintain appropriate inventory levels while monitoring usage and identifying opportunities for cost savings.
Mail, Shipping & ReceptionReceive, sort, and distribute incoming mail and packages.
Coordinate outgoing mail, courier services, overnight shipments, and shipping accounts.
Welcome visitors and guests and serve as a primary reception contact.
Route calls, inquiries, and visitors appropriately.
Workplace Experience & Employee EngagementCoordinate corporate meetings, employee appreciation events, celebrations, and recognition activities.
Arrange catering, meeting spaces, materials, supplies, and event logistics .
Support employee engagement and workplace culture initiatives.
Assist with distributing operational communications and other corporate information.
People & Culture SupportPartner with our People & Culture team to support recruiting, onboarding, and other employee initiatives, including:
Assisting with job requisition intake and approvals.
Reviewing applications and resumes against established basic qualifications.
Scheduling and coordinating candidate interviews with hiring managers and Regional Managers.
Sending interview confirmations, reminders, and candidate follow-up communications.
Tracking candidate status and pipeline stages in our applicant tracking systems,
Conducting reference checks and documenting results.
Maintaining recruiting trackers and reporting spreadsheets.
Supporting onboarding activities and new employee preparations.
Assisting with additional People & Culture and cross-functional initiatives as needed.
What You’ll BringAssociate degree preferred; an equivalent combination of education and relevant experience will be considered.
3–5 years of experience in office administration, office management, facilities coordination, workplace operations, or a related role.
Experience coordinating vendors, facilities services, and office operations preferred.
Strong organizational and project coordination skills.
Excellent customer service and interpersonal skills.
Ability to manage multiple priorities and deadlines simultaneously.
Strong written and verbal communication skills .
Proficiency with Microsoft Office and business software applications.
Ability to work independently, take initiative, and exercise sound judgment.
