We are looking for someone with a passion for coordinating schedules, tracking deliverables, maintaining documentation, and facilitating communication among internal departments, clients, and vendors. The ideal candidate will thrive in a fast-paced environment, possess excellent multitasking abilities, and have a strong administrative background with project support experience.
- Coordinate project activities, schedules, and timelines to ensure milestones and deadlines are met.
- Serve as a primary point of contact for project-related communication with internal teams, clients, and vendors.
- Prepare, maintain, and organize project documentation, reports, contracts, and correspondence.
- Schedule meetings, take meeting notes, and track action items and follow-up tasks.
- Assist with proposal preparation, project planning, and administrative support functions.
- Monitor project progress and provide status updates to stakeholders.
- Track budgets, invoices, purchase orders, and project expenses as needed.
- Maintain accurate records and update project management systems and databases.
- Coordinate vendor relationships, material orders, and project logistics.
- Identify project risks, delays, or issues and communicate concerns to management.
- Support multiple projects simultaneously while prioritizing competing deadlines.
- 2+ years of project coordination, administrative, or related experience.
- Strong organizational, time management, and problem-solving skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
- Experience with project management software is a plus.
- Ability to work independently and collaboratively in a team environment.
- High attention to detail and accuracy.
- Project coordination or project management support experience
- Proposal writing and document preparation
- Vendor and client coordination
- Budget tracking and reporting
- Construction, engineering, healthcare, professional services, or operations experience preferred
Competitive pay: $22-$28/hour DOE
