The Executive Assistant provides high-level administrative support directly for City Officials, including the City Administrator, Chief Financial Officer, and Deputy City Administrators. The role focuses on managing schedules, coordinating meetings, preparing correspondence and executive communications, and handling confidential information with tact and discretion.
Essential Job Functions- Provide executive-level administrative support; screen communications, prepare and edit correspondence, maintain calendars, and inform City Officials of significant matters.
- Coordinate meetings and initiatives; manage action items, follow-ups, and meeting logistics; prepare agenda packets and briefing materials.
- Coordinate documentation within established procedures and time frames; assist with procurement card and bank statement reconciliation; support internal accounting activities.
- Act as liaison between the Office of the City Administrator and departments, staff, officials, the public, and outside partners; handle sensitive information with discretion.
- Maintain calendars and multiple email accounts; prioritize high-volume, time-sensitive communications.
- Coordinate travel arrangements, accommodations, and registrations; prepare travel-related documents and notes for participants.
- Provide excellent customer service; answer inquiries, direct callers/visitors, and relay messages; handle routine requests for service or information.
- Develop and distribute professional content, including presentations, video materials, and social media support for organizational communications.
- Ensure compliance with applicable codes, laws, rules, regulations, standards, policies, and procedures.
- Maintain filing systems; manage records retention, document scanning, shredding, and retrieval; support data collection and reporting as needed.
- Prepare, proofread, and process forms, reports, newsletters, calendars, budgets, contracts, and other documents as required.
- Operate standard office equipment and software; support general office operations and infrastructure as needed.
- Monitor department supplies and coordinate requests for new or replacement materials.
- Communicate with supervisors, departments, officials, vendors, and the public to coordinate work activities and resolve issues.
- Maintain confidentiality of documentation and information.
- Performs other related duties as required.
Education and Experience: Requires an associate degree; 3–5 years of secretarial, administrative, or office management experience (including experience supporting executives); or an equivalent combination of education, training, and experience.
Licenses or Certifications: Valid State of Georgia Driver's License;
Executive Assistant, Administrative Professional, Project Management, productivity, data analytics, or process improvement certification is a plus.
- Ability to learn and apply City/department policies and procedures.
- Strong data analysis, prioritization, and organizational skills to manage complex workflows in fast-paced executive environments.
- Ability to supervise, manage time, and balance priorities; proficient with productivity tools and technologies.
- Excellent communication and stakeholder engagement with elected officials, government partners, and the public.
- Proficiency in creating professional digital content (presentations, video, social media) for internal and external communications.
Work is sedentary to light; may involve lifting up to light weights (5–10 pounds). Prolonged keyboard use; requires ability to perceive colors, depth, texture, and to communicate clearly.
Work EnvironmentTypically in a standard office setting with no unusual environmental conditions.
