Ocean Mazda Roswell is seeking an organized, detail-oriented, and highly accountable Internal Service Advisor to join our Service Department.
The Internal Service Advisor is responsible for coordinating service and repair work on dealership-owned vehicles, including new and used inventory, used-vehicle reconditioning, and other internal repair orders.
This position serves as an important liaison between the Service Department, Used Car Department, Sales Department, Parts Department, technicians, and dealership management to ensure vehicles move through the repair and reconditioning process efficiently and are completed accurately and on time.
The ideal candidate understands dealership service operations, has excellent follow-through, and is comfortable managing multiple vehicles and repair orders at the same time.
Key ResponsibilitiesOpen and manage internal repair orders for dealership-owned vehicles.
Coordinate mechanical repairs, maintenance, inspections, and reconditioning of new and used vehicle inventory.
Ensure vehicles entering the Service Department are properly documented and assigned.
Review requested work and communicate repair needs to the appropriate technician.
Monitor internal repair orders throughout the repair process.
Maintain awareness of the status and location of vehicles assigned for service or reconditioning.
Review technician findings and recommendations and communicate additional repair needs to the appropriate manager for approval.
Obtain required internal approvals before proceeding with additional repairs or expenses.
Coordinate with the Parts Department regarding parts availability, special orders, and backordered parts.
Follow up on outstanding parts to prevent unnecessary delays.
Communicate regularly with Used Car Management, Sales Management, Service Management, and other appropriate personnel regarding vehicle status.
Prioritize vehicles based on dealership needs and management direction.
Help ensure used vehicles move through the reconditioning process efficiently and are ready for sale as quickly as possible.
Track vehicles awaiting inspection, repair, parts, approval, completion, or final quality control.
Identify delays or bottlenecks and elevate concerns to management when necessary.
Verify that authorized repairs have been completed before closing internal repair orders.
Review repair orders for accuracy, including labor operations, parts, documentation, and appropriate internal charges.
Ensure internal repair orders contain complete and accurate documentation.
Assist with coordinating outside vendor work when necessary.
Track vehicles sent to outside vendors and follow up to ensure timely completion and return.
Coordinate vehicle movement as necessary between departments and designated repair or reconditioning areas.
Maintain accurate records of vehicle status, repair progress, and completed work.
Work closely with technicians and shop leadership to help maintain an efficient workflow.
Assist Service Management with internal service reports and outstanding repair-order reviews as requested.
Follow dealership policies, manufacturer requirements, and established internal repair procedures.
Perform other duties as assigned by management.

The Internal Service Advisor will work closely with Used Car Management and the Service Department to:
Coordinate initial inspections of acquired and traded vehicles.
Ensure identified mechanical and safety concerns are properly documented.
Obtain appropriate approvals for recommended repairs.
Track approved repairs through completion.
Coordinate required parts and outside vendor services.
Monitor vehicles that are waiting for parts or additional work.
Communicate vehicle status and anticipated completion timelines.
Help minimize unnecessary reconditioning delays.
Ensure completed vehicles are properly documented and released back to the appropriate department.
The goal is to maintain an organized and efficient process so inventory can be safely prepared and made available for sale without unnecessary delays.
Internal Repair Order Control & AccountabilityThe successful candidate must be able to maintain control of a large number of active repair orders and know the status of each vehicle.
