The Customer Service Representative serves as a key link between customers, office staff, and field crews. This role combines customer support with real-time logistics, including answering client calls and emails, scheduling and dispatching trucks, tracking job progress, and confirming job completion. Bilingual communication (English/Spanish) is required to effectively support customers and crews.
Key ResponsibilitiesThe following duties are representative of the position but are not intended to be an exhaustive list:
- Serve as the primary point of contact for customers via phone and email, delivering professional, courteous, and empathetic service.
- Receive and process new service requests, changes, and complaints; accurately translate customer needs into work orders.
- Coordinate daily dispatch operations by assigning trucks and crews using internal software and mapping tools.
- Monitor and track job status, confirming completion once services are rendered.
- Provide timely updates to customers regarding service schedules, delays, or changes.
- Communicate clearly with drivers and field teams regarding assignments, site requirements, and special instructions.
- Troubleshoot issues such as delays, access problems, or customer concerns; elevate matters as appropriate and follow through to resolution.
- Maintain accurate records, logs, routing data, and documentation within company systems.
- Support customer account setup by collecting service details and ensuring proper documentation and internal handoff.
- Utilize digital maps, site plans, and routing tools to assist with efficient deployment.
- Identify opportunities for workflow or process improvements to enhance efficiency and customer satisfaction.
- Perform additional customer service duties or special projects as assigned by management.
- Minimum of 1 year of experience in customer service, dispatching, logistics, or a related coordination role.
- Bilingual proficiency in English and Spanish (speaking, reading, and writing) is required.
- Strong verbal and written communication skills with a professional, patient, and solution-oriented approach.
- Excellent organizational and multitasking abilities; capable of managing a high volume of calls, emails, and dispatch activities.
- Proficiency with computers and standard office software; experience with dispatch, logistics, or mapping software is a plus.
- Ability to read and interpret digital maps, site layouts, and routing information.
- Strong problem‑solving skills and the ability to remain calm in fast‑paced or time‑sensitive situations.
- High attention to detail and accuracy in data entry and record‑keeping.
- Ability to adapt to changing priorities in a dynamic work environment.
- Customer‑focused mindset with the ability to handle complaints professionally.

- Mon‑Fri 8‑5 work week – Full‑time position.
