Position SummaryThe Events Manager creates welcoming, organized, and memorable experiences for students, families, employees, trustees, donors, alumni, and visitors through the planning and execution of various department events.
This position serves as the central coordinator for all campus gatherings, ensuring that every event—whether a parent meeting for twenty people or a community celebration for several hundred—is thoughtfully organized, professionally executed, and reflects the warmth and mission of High Meadows School and Camp.
Working collaboratively across every department, this individual manages event logistics from concept through completion while creating a positive guest experience and allowing faculty and administrators to focus on their presentations and guests rather than operational details.
Event Planning & Coordination- Serve as the primary coordinator for campus events.
- Meet with event sponsors to understand goals, timelines, budgets, attendance, and logistical needs.
- Develop event timelines and planning checklists.
- Coordinate event calendars to minimize scheduling conflicts.
- Reserve spaces and manage room scheduling.
- Coordinate event setup and breakdown.
- Ensure events begin and conclude on schedule.
- Create welcoming environments for guests, families, donors, trustees, and community members.
- Coordinate refreshments, catering, beverages, linens, and serving needs.
- Ensure presentation areas are clean, organized, and inviting.
- Oversee guest registration and welcome tables when appropriate.
- Coordinate signage and way finding throughout campus.
Work closely with Facilities to coordinate:
- o Tables and chairs.
- o Audio/visual equipment.
- o Pre-and Post-Event Cleaning.
- o Podiums.
- o Parking logistics.
- o Electrical needs.
- o Inclement weather backup plans.
Coordinate outside vendors by obtaining quotes, scheduling deliveries, confirming arrangements, including:
- Florists.
- Entertainment.
- Photographers.
During events, participates by serving as the operational lead by:
- Monitoring timelines.
- Solving problems in real time.
- Coordinating volunteers through FAHMS liaison.
- Assisting presenters.
- Managing setup adjustments.
- Ensuring hospitality standards are maintained.
- Assist departments with event budgeting.
- Track event-related expenditures.
- Obtain competitive pricing from vendors.
- Recommend cost‑saving opportunities while maintaining quality.
- Maintain event planning documents and templates.
- Track inventory of event supplies.
- Coordinate event storage areas.
- Maintain Event Calendar and communication thereof.
- Work in partnership with the event leader, if applicable, or as a primary lead on events, regarding creating, sending, managing invites, and corresponding RSVPs.
- Bachelor's degree or an equivalent combination of education and relevant professional experience.
- Three or more years of recent, successful experience in event planning, hospitality, conference services, school operations, or a closely related field.
- Availability to work evenings and/or weekends when events may be scheduled with flexible day schedule during the week those events are planned.
