Position Overview

Position Summary:
Provide students, visitors, faculty and staff with one-stop service by delivering accurate information on admissions, advising, financial aid, registration, and other Student Services processes, while also handling the back-office functions of the Financial Aid Office. This position reports to the Director of Financial Aid.

Duties and Responsibilities:
  • Assist with all operational functions required for the daily activities of the Financial Aid department, as well as supporting tasks related to the One-Stop customer service model.
  • This position will serve as the primary backup for processing work-study requests, awards, referrals, and timesheets, ensuring accuracy and timeliness.
  • Maintain effective working relationships with Payroll, Human Resources, and Business Office.
  • Ensure the accuracy and upkeep of information related to Federal and State Work-Study programs.
  • Conduct initial reviews of Financial Aid Appeal Forms to ensure completeness.
  • Serve as the liaison between the Special Services department and the Financial Aid Office, collaborating with Special Services staff, students, and, when necessary, parents to ensure clear and accurate communication.
  • Support the training of staff and work-study students, while also assisting students and visitors with any inquiries or concerns in the office.
  • Help monitor and track students' satisfactory academic progress (SAP).
  • Run queries to identify students who have submitted all required initial verification documents.
  • Review and compare document information for consistency and accuracy, requesting additional details if anything is incomplete or if discrepancies arise between forms.
  • Reach out to students to clarify any questions or request additional information as needed.
  • Provide guidance and counsel to students throughout the financial aid process.
  • Use the imaging and indexing system in Web Xtender to ensure process accuracy and efficiency, while adhering to federal and state record-keeping compliance standards.
  • Respond to phone inquiries, assist with maintaining office files and procedures, and perform general clerical and secretarial tasks.
  • Utilize the Banner financial aid database for record-keeping related to the work-study program and for verifying student files.
  • Contribute to delivering financial aid workshops for college classes and local high schools.
  • Attend workshops and training sessions related to federal, state, and Banner systems.
  • Offer support to colleagues while ensuring confidentiality is upheld at all times.
  • Perform additional duties as assigned.
Support Responsibilities:
  • Create an atmosphere of effective, efficient, friendly and reliable service, offering easy access to credible information.
  • Serve as the first point of contact for new students and community members, providing information on academic programs, enrollment processes, and financial services.
  • Assist students with registration activities, including understanding course offerings, adding, dropping, wait listing, auditing and withdrawing from courses.
  • Provide information regarding residency requirements.
  • Assist students with online services.
  • Screen and schedule appointments for advisors, financial aid staff, and other division personnel.
  • Guide prospective students in determining appropriate entry level, completing admission documents, and meeting college requirements.
  • Refer students and visitors to appropriate college personnel per established protocol.
  • Assist in developing and updating policies and procedures, ensuring the procedures manual is current.
  • Ensure all activities comply with Family Educational Rights and Privacy Act (FERPA).
  • Perform duties in accordance with established practices and standards, ensuring safety and efficiency with minimal supervision.
  • Support campus events (e.g., orientations; on-campus and off-campus open registration, college fairs, commencement) and assist with special projects, as needed.
