Customer Service Rep, Office Administrator/ Coordinator
We are seeking a detail-oriented and motivated Customer Service Representative to join our Customs Department. This position is ideal for candidates with experience in billing, invoicing, and accounts-related documentation who enjoy working in a fast-paced logistics environment.
In this role, you will be responsible for generating accurate customer invoices, reviewing billing information, processing shipment documentation, and providing exceptional customer service to clients, truckers, and carriers. Accuracy, organization, and attention to detail are essential, as billing and invoicing are the primary responsibilities of this position.
Location: Port of Oakland (west Oakland)
Schedule:
Monday - Friday
Shift: 8am-5pm
Pay rate: $25-$27
- Play a key role in the billing process for customer shipments.
- Work in a logistics and customs environment.

- Review billing information to ensure accuracy before invoices are issued.
- Verify charges, rates, and supporting documentation.
- Resolve billing discrepancies and invoice-related questions with clients.
- Maintain accurate billing records and supporting documentation.
- Ensure invoices are processed promptly to support timely customer payments.
- Serve as the primary point of contact for customers regarding billing, shipment updates, and order inquiries.
- Respond to customer, trucker, and carrier inquiries by phone and email.
- Provide professional follow-up and maintain excellent customer relationships.
- Process customer orders and shipment information accurately.
- Monitor shipment status and update internal systems.
- Schedule and confirm pickup and delivery appointments.
- Review and maintain shipping and customs documentation.
- Perform high-volume data entry while maintaining a high level of accuracy.
- Ensure compliance with company policies and documentation requirements.
- Coordinate with warehouse personnel, drivers, dispatch, and port operations to ensure shipments move efficiently.
- Assist with operational tasks and shipment tracking as needed.
- Investigate billing discrepancies, shipment delays, and documentation issues.
- Work with internal teams and customers to resolve issues promptly.
- At least 1 year of billing and invoicing experience is required.
- Experience creating, reviewing, and processing customer invoices.
- Strong understanding of accounts-related documentation and billing procedures.
- Minimum of 1 year of high-volume data entry experience with exceptional accuracy.
- Excellent organizational and time management skills.
- Strong customer service and communication skills.
- Experience in transportation, logistics, customs, or dispatch is a plus.
- Ability to manage multiple priorities in a fast-paced environment.
- Dependable with a strong attention to detail and commitment to accuracy.
