** Job Description
** Greets visitors, monitors and directs incoming phone calls, mail, faxes, deliveries and other communications in a respectful, pleasant, and proficient manner as essential for a positive first impression by performing the following duties.

** Duties and Responsibilities
** include the following.
* Monitors switchboard and answers, assesses, and directs incoming calls to appropriate personnel.
* Greets visitors, evaluates needs, and contacts appropriate personnel to assist.
* Accepts, processes and promptly distributes incoming deliveries (i.e. Fed Ex, UPS, Mail, etc.).
* Prepares all Fed Ex labels for shipping.
* Opens, sorts, stamps and prepares incoming mail for inner office distribution.
* Accepts, weighs, applies postage and prepares outgoing mail for pickup by Courier.
* Monitors mail equipment for proper postage and supplies and notifies Accounting or Courier as needed.
* Working knowledge of the agency’s management system client locator and attachment routing.
* Monitors and distributes incoming faxes through agency management system fax router.
* Separates and scans documents to various personnel through use of barcodes in agency management system.
* Opens, stamps, and logs all checks received.
* Maintains monthly check log and submits to Accounting at the end of each day.
* Assures front office/reception area is clean, free of clutter, broken, frayed, or damaged furniture, fixtures or other materials.
* Provides a professional and cordial environment at all times.
* Backs up courier for post office mail pickups and drop offs.
* Maintains and updates Front Office Procedures Manual and ensures all backup personnel are trained.

** Education and/or Experience
** High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

** While performing the duties of this Job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk and sit. The employee is occasionally required to use hands to finger, handle, or feel; reach with hands and arms; climb or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.  

Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus.
