Position Summary
The Design Desk Administrator supports the sales and service teams by creating accurate quotes from approved scopes of work, managing renewals for licensing and hardware warranties, and assisting with select break‑fix sales activities. This role ensures timely and precise documentation, pricing, and vendor coordination to maintain client satisfaction and operational efficiency.
Key Responsibilities
Quote Creation & Scoping
- Generate quotes based on Sales Engineer and Account Manager‑provided scopes of work.
- Validate pricing tiers, discounts, and vendor details for accuracy.
- Attach vendor quotes and scoping notes to opportunities in CRM.
- Maintain version control and documentation standards for proposals.
- Track and process renewals for software licenses and hardware warranties.
- Coordinate with vendors and internal teams to ensure uninterrupted service.
- Update CRM with renewal status and client notifications.
- Assist with quoting and processing break‑fix service requests.
- Communicate with vendors for product availability and pricing.
- Support Account Managers with quick‑turn product sales when needed.
Administrative & Process Oversight
- Maintain accurate records in Connect Wise or equivalent PSA.
- Monitor scoping tickets and update status changes promptly.
- Flag incomplete or outdated entries for follow‑up.
Required Skills & Attributes
- Strong organizational and documentation skills.
- Familiarity with quoting tools and CRM systems (e.g., Connect Wise).
- Ability to interpret scopes of work and apply correct pricing.
- Vendor coordination experience for hardware/software procurement.
- Detail‑oriented with a proactive approach to deadlines.
