Job Description
The Office Manager provides critical support across parts operations, customer service, office administration, and payroll and accounting functions. This role serves as a primary support resource for the Parts Support team, ensures smooth day-to-day office operations, and partners closely with leadership, supervisors, and union employees to support workforce and facility needs across multiple locations.
Responsibilities
+ Serve as a primary support resource for the Parts Support team, providing timely assistance with parts-related activities.
+ Investigate and resolve customer and dealer inquiries related to parts orders and claims, ensuring issues are handled promptly and professionally.
+ Coordinate with internal teams to drive timely resolution of customer and dealer issues.
+ Maintain accurate records and documentation within company systems, ensuring data integrity and compliance with internal procedures.
+ Learn and support operational workflows utilized across multiple locations and apply them consistently in daily work.
+ Assist with day-to-day office administration, including general office coordination and facility support.
+ Partner with operations leadership and supervisors to understand and support workforce needs.
+ Act as a liaison between office staff, management, and union employees to facilitate effective communication and collaboration.
+ Help coordinate communication and administrative processes across departments to support smooth operations.
+ Support operational activities for additional locations, including Chicago, Jacksonville, and potentially Canada, as needed.
+ Assist with payroll processing using ADP, ensuring accuracy and timeliness.
+ Support accounts payable activities, including invoice review and payment processing.
+ Maintain employee and payroll records with a high level of accuracy and confidentiality.
+ Assist leadership with reporting, data gathering, and various administrative projects.
+ Provide high-quality customer service to internal and external stakeholders, responding to inquiries with professionalism and clarity.
Essential Skills
+ Previous experience as an Office Manager.
+ Proven office management experience in a fast-paced administrative or operations environment.
+ Strong customer service skills with the ability to handle inquiries and resolve issues effectively.
+ Strong verbal and written communication skills, with the ability to interact comfortably with employees at all levels, including supervisors and union personnel.
+ Proficiency with Microsoft Office, with strong Microsoft Excel skills highly preferred.
+
Experience with ADP payroll systems for payroll processing.
+ Experience supporting payroll and/or accounts payable functions.
+ Ability to maintain accurate records and handle sensitive information with confidentiality.
+ Ability to coordinate and prioritize multiple tasks in a dynamic environment.
Additional
Skills & Qualifications
+ ERP system experience preferred.
+ Bilingual skills, such as Spanish, are a strong plus.
+ Experience working closely with union personnel is beneficial.
+ Strong organizational skills and attention to detail.
+ Ability to build effective working relationships across departments and locations.
+ Comfort working in a role that supports multiple sites, including remote locations such as Chicago, Jacksonville, and potentially Canada.
Work Environment
The Office Manager works in a fast-paced office and operations environment that supports multiple locations. The role involves frequent collaboration with office staff, operations leadership, supervisors, and union employees. Work is primarily computer-based, using tools such as Microsoft Office, ADP payroll, and other internal systems, including ERP platforms where applicable. The position requires regular handling of confidential employee and payroll information and coordination of administrative processes across departments.
Standard business hours are typical, with some flexibility needed to support operational needs across different locations. Professional office attire is expected, reflecting regular interaction with internal teams and external partners.

This is a Contract to Hire position based out of Rutherford, NJ.
Pay and Benefits
The pay range for this position is $28.84 - $33.65/hr.
