Job SummaryRutland City Public Schools seeks a highly organized and collaborative Special Education Secretary who provides comprehensive administrative and compliance support for students in Grades 9-12 receiving special education and 504 services. Working closely with building administrators, special education teachers, case managers, related service providers, support staff, students, families, and community agencies, this position ensures accurate recordkeeping, meeting coordination, and adherence to state and federal special education regulations.
The role requires strong organizational skills, attention to detail, and the ability to manage multiple timelines in a fast-paced school environment.
- Maintain confidential special education records in compliance with IDEA, Section 504, FERPA, and applicable state regulations.
- Track and monitor timelines for IEPs, 504 plans, evaluations, re-evaluations, and eligibility determinations.
- Review documentation for completeness and accuracy prior to submission.
- Maintain updated caseload lists and accurate records in the district’s student information systems.
- Schedule and coordinate IEP, 504, eligibility, and related service meetings.
- Prepare required reports and coordinate Medicaid-related documentation as assigned.
- Assist with residency verification and schedule truancy meetings at the direction of an administrator.
- Maintain an organized Support Services office and provide backup secretarial coverage as needed.
- Perform all other duties as assigned by the Building Administrator(s).
- High School Diploma or equivalent required;
Associate’s degree preferred. - Prior experience in office administration, school-based support services, or special education settings preferred.
- Proficient in Microsoft Office Programs.
- Demonstrated commitment to equity, inclusion, and advocacy for students with disabilities.
- Strong organizational and time-management skills with the ability to manage multiple deadlines.
- Knowledge of or ability to learn special education compliance requirements and procedures.
- High level of discretion and ability to maintain strict confidentiality.
- Proficiency with student information systems and standard office software.
- Effective written and verbal communication skills.
- Ability to work collaboratively with staff, students, and families.
Work is performed primarily in a school office environment and requires extended periods of sitting, computer use, and operation of standard office equipment. The position may require standing, walking, bending, reaching, and lifting materials weighing up to approximately 25 pounds. Frequent interaction with students, staff, and families is expected. Regular, reliable, and predictable attendance is an essential function of this position.
