Job Summary
The Admin Assistant (Corporate Events) supports the Director of Corporate Events/Chief of Staff, serving as a liaison with employees, executives, customers, and visitors to ensure seamless day‑to‑day operations. The role involves handling inquiries, coordinating information flow, managing schedules, organizing business events (including occasional travel), and maintaining confidential administrative support.
Job Details- Location: Onsite in Jacksonville, FL
- Schedule: Monday – Friday, 8am – 5pm (flexible to 7am – 4pm)
- Salary: $20–$25 per hour, depending on experience
- Produce a wide variety of routine and complex documents, reports, presentations, and other correspondence using standard Microsoft Office skills with minimal direction
- Answer phones, screen calls, and route calls to the appropriate recipient
- Welcome and assist visitors
- Manage schedules, book meetings, plan events, build itineraries, make travel arrangements, and oversee food orders for meetings
- Reconcile and process invoices and expense reports for payment
- Support the facilitation of on‑ or off‑site large group meetings or events
- High School Diploma or equivalent
- Two years of administrative support experience
- Associate’s degree or equivalent experience
- Four years of administrative support experience
- Ability to maintain confidentiality
- Excellent organizational skills and attention to detail
- Proficient computer navigation skills using a variety of software packages, including Microsoft Office applications
- Excellent interpersonal skills and ability to communicate with multiple levels of stakeholders using proper grammar, spelling, and punctuation
- Ability to work effectively with others in person and in a group setting
- Ability to prioritize, manage time, and meet competing deadlines
- Ability to interpret verbal and/or written instructions at a proficient level
- Ability to travel as required for corporate events
