Executive Assistant To The Dean, College Of Business

This position provides a wide variety of professional support to the Dean of the College of Business Administration. Assignments are received from, carried out for, and reported to the Dean. This position supports the Dean at events and during activities on and off campus as required in support of state and non-state supported programs including undergraduate and graduate programs required and appropriate;

advises the Dean, providing extensive professional assistance, project management, and recommendations on College issues; and performs highly responsible and independent work covering a broad range of college activities in consultation with the Dean and other College administrators and directors.

This position is responsible for coordinating the day-to-day communications, organization, and activities of the Dean's office. This is a professional position requiring extensive experience with public relations, higher education settings, business and other professional organizations with exceptional analytical and communication skills.

Responsibilities may include drafting and revising materials for presentation, drafting and/or reviewing reports and correspondence; following up on issues and activities; compiling and organizing information; coordinating Advisory Board meetings with the Development Analyst, Dean's level committee, staff meetings and professional development activities; preparing agendas; and taking meeting minutes. Incumbent provides lead work direction and supervision to student assistant(s).

Equivalent to a bachelor's degree in a related field and two years of relevant experience. Additional experience which demonstrates acquired and successfully applied knowledge and abilities shown above may be substituted for the required education on a year-for-year basis. An advanced degree in a related field may be substituted for the required experience on a year-for-year basis.

Experience providing administrative support in executive level office.

Experience with project management and coordination

Supervisory principles and practices

Knowledge of modern computer-based research and evaluation practices

Office coordination principles and practices

Customer Service principles

English language, grammar, and punctuation

Modern office procedures, methods, equipment

Meeting and/or special event scheduling and coordination techniques

Recordkeeping principles

Basic budgeting principles

Knowledge of standard office programs (e.g. Microsoft Word, PowerPoint)

Collaboration with others in a complex organization and effective time management of projects including work with all members (staff and faculty) inside and outside the organization

Exceptional interpersonal skills and strong managerial ability

Ability to interact and influence at the most senior levels of an organization and to work collaboratively across functions, levels and departments toward shared objectives with discretion and confidentiality

Ability to analyze programs and projects and recommend improvements

Managing and maintaining calendars

Managing office operations

Composing a variety of business correspondence

Planning, organizing, scheduling, and prioritizing details for meetings, special events, and other related events

Maintaining records and files

Skills in standard office programs (e.g. Microsoft Word, PowerPoint)

Communication, interpersonal skills as applied to interaction with subordinates, coworkers, supervisors, the general public, etc. sufficient to exchange or convey information to give and receive work direction.

Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.

Ability to complete the background check process.

Five (5) years of experience managing and supporting executive level office in a complex organization.

Experience working in higher education.
