Job Description

The main focus of the position is to provide administrative support to the Capitol Corridor Multi-County Partnership (Sacramento, Yolo, Solano). Administrative services are provided by a centralized support staff unit. Services provided include receiving and processing information, creating spreadsheets, compiling and manipulating data, creating and compiling reports and handouts, creating correspondence, formatting newsletters and reports, coordinating work flow, and working with clientele.

This position will also handle website and media support, answer general phone lines and emails, and provide general program assistance. The main work location will be the Cooperative Extension office in Sacramento, but it may be required to work/travel to the Solano or Yolo county offices for occasional administrative coverage as needed.

This position is a career appointment that is 100% fixed.

Pay Scale: $26.72/hour to $31.74/hour

Key Responsibilities
  • 65% Administration and Support:
    Provide support for program activities by using computer to assist with workload of advisors and/or program staff; provide overall program support using copier for program materials, correspondence via email and telephone calls. Arranges meetings with internal staff and external groups. Performs meeting arrangements including facilities, audio/visual equipment services and catering services. Compiles appropriate records, e.g. receipts, contracts, set-up and process online credit card registrations, statements for payment, and reimbursement.

    Assist in processing professional continuing education units and educational materials, printed materials, research papers and agendas. Establish in-house procedures and guidelines. Assist in the preparation of materials for trainings, workshops, and events. Prepare travel, purchase orders, check requests, deposits, donations, correspondence, newsletters, forms, reports, tables, and other documents using word processing, spreadsheet, and graphics software from draft through final versions.

    Review and edit documents for grammar, punctuation and spelling, enhance and maintain web pages, determine and ensure documents are in appropriate format in accordance with department style manual. Provide general program support to staff.
  • 10% Website Media:
    Develop and maintain website for the Capitol Corridor Multi-County Partnership and programs. Working with staff, develop and disseminate press releases to support program outreach and delivery.
  • 10% Provide General Administrative Duties:
    Answer general phone lines, route callers to appropriate parties, provide general program and procedural information. Problem-solve clientele issues before forwarding to program staff.
  • 10% Staff Personnel Support:
    Assist with personnel activities including preparation of related correspondence and forms as needed.
  • 5% Database Management:
    Maintain a variety of databases.
Requirements
  • High school diploma or equivalent experience.
  • Thorough knowledge of Microsoft Office, knowledge of modern office equipment (phone systems, laptops, sound equipment, etc.), modern office practices and procedures. Knowledge of style/format of business correspondence, punctuation, and general English usage. Compose correspondence independently.
  • Ability to organize work effectively to meet critical administrative deadlines and determine office priorities. Manage routine projects without constant supervision. Ability to work cooperatively with co-workers and community partners; reliable, efficient and honest.
