CORE Districts is a nonprofit organization dedicated to raising student achievement through collaboration among nine California school districts. Our work focuses on strengthening the collective efficacy in school systems and improving outcomes for students, especially those students that have been traditionally underserved. CORE is in an exciting phase of program growth and development, and we are seeking a Program Coordinator to support our work.
Position OverviewThe Program Coordinator will work under the supervision of the Senior Program Manager for School Networks. This role provides coordination, event, communications, and logistical support for our School Networks:
Breakthrough Success Community (BTSC), CORE Schools, the CORE Board Community of Practice (CoP) and the Data Collaborative.
The ideal candidate is passionate about CORE's mission and has event and program coordination experience, along with strong organizational and communication skills. This person is comfortable managing multiple priorities, anticipating next steps, and moving fluidly between independent work and close collaboration with colleagues.
Essential Duties and ResponsibilitiesThe Program Coordinator’s duties and tasks will include, but are not limited to:
Event and Meeting Coordination- Coordinate logistics and support for in-person and virtual events, school visits, and other network activities.
- Proactively manage event planning including scheduling, registration, participant communications, materials, catering, travel-related coordination, and on-site support as needed.
- Provide on-site support at events and meetings as needed.
- Develop and maintain event timelines, checklists, and participant lists to keep planning on track.
- Support the Senior Program Manager in coordinating activities, timelines, and deliverables across multiple work streams.
- Track tasks, deadlines, and follow-up items and help ensure commitments are completed on time.
- Organize and maintain shared documents, resources, contact lists, and project files.
- Serve as a coordination point between CORE staff, district partners, vendors, and other collaborators to keep work moving across the School Networks portfolio.
- Execute day-to-day tasks and functions within CORE’s CRM system.
- Provide other project coordination and administrative support as needed.
- Draft and send clear, professional participant communications, including invitations, reminders, logistical information, and follow-up messages.
- Support the preparation and distribution of meeting materials, resources and newsletters.
- Ensure communications and materials are accurate, timely, and well organized.
- Strong organizational skills with high attention to detail.
- Proven ability to manage multiple deadlines independently and follow through on commitments.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and a collaborative, team-oriented approach.
- Sound judgment, with the ability to identify potential problems and take initiative to resolve them proactively and elevate as appropriate.
- Quick learner, comfortable adapting to new technologies.
- Bachelor’s degree or equivalent experience preferred.
- Three years of experience coordinating meetings, events, projects, or programs.
- Experience using a CRM system preferred.
- Experience in education or nonprofit settings is a plus, but not required.
