Regulatory Compliance Specialist
Join a Heavy Civil Construction leader with a stellar history and portfolio throughout Northern California. We are seeking a detail-oriented and highly organized Contract Administrator to support the successful execution of heavy civil construction projects throughout Northern California. This position is responsible for administering project contracts and subcontracts, ensuring contractual compliance, maintaining project documentation, and coordinating with project managers, subcontractors, owners, and legal counsel.
The ideal candidate possesses strong organizational skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced construction environment while supporting both public and private infrastructure projects
Essential Duties and Responsibilities- Contract Administration
- Prepare, review, execute, and maintain owner contracts, subcontracts, purchase orders, and vendor agreements.
- Monitor contract requirements to ensure compliance with company policies, client requirements, and applicable regulations.
- Track contract milestones, deadlines, insurance requirements, bonds, and renewals.
- Support Project Managers with contract interpretation and administration throughout the project lifecycle.
- Coordinate execution of subcontract agreements prior to project mobilizati on.
Assist with processing change orders, contract modifications, amendments, and claims documentation. - Track Requests for Information (RFIs), submittals, notices, and correspondence related to contractual obligations.
- Verify subcontractor insurance certificates, licenses, bonding, and prequalification requirements. Ensure compliance with prevailing wage, certified payroll, DIR, and other public works requirements when applicable.
- Assist with document preparation for audits and regulatory reviews.
- Identify contractual risks and communicate concerns to project management.
- Maintain project documentation within company management systems.
- Coordinate communication between project teams, clients, subcontractors, vendors, and legal counsel.
- Prepare reports regarding contract status, pending issues, and project documentation.
- Support closeout documentation, warranties, releases, and final contract deliverablies.
- Maintain confidentiality of company and project information.
- Continuously improve document control processes and administrative efficiencies.
- Bachelor's degree in Construction Management, Business Administration, Engineering, or related field preferred. Equivalent combination of education and relevant construction experience will be considered.
- 3–5 years of contract administration, project administration, or construction administration experience preferred.
- Experience supporting heavy civil, transportation, infrastructure, or public works projects is highly desirable. Familiarity with Caltrans, municipal, or public agency contracts is a plus.
