- Work evening, weekend and holiday work hours as required.
- Assist the service department with telephone calls.
- Communicate with callers in a professional, friendly, and efficient manner, while striving to minimize the time they are put on hold.
- Take thorough messages, indicating the caller’s name, company if applicable, the time and message the caller wishes to leave.
- Keep accurate and current records of client contact and follow up activities.
- Communicate messages to the appropriate parties in a timely manner.
- Make daily appointment schedule available to all service advisors.
- Monitor appointment schedule to ensure that over-booking does not occur.
- Provide the service department with a list of daily appointments.
- Pull service files and run vehicle identification number status for the next day’s business.
- Assist the service department with other duties when time allows.
- Maintain on-going positive relations with all clients to encourage repeat business and referrals.
- Maintain high customer satisfaction standards by making customers feel welcome, comfortable, treating each one with courtesy and respect.
- Handle telephone, email, and text inquires throughout the day in a prompt, efficient, professional and pleasant manner.
- Always speak in a positive manner when discussing the dealership, fellow employees, or dealership policies when communicating with the customer.
- Make appointment confirmation day prior to appointment.
- Initiate missed appointment calls 90 minutes after scheduled appointment time.
- Report to work with a positive attitude, on time and ready to work.
- Maintain a professional appearance and attitude.
- Keep work area neat and clean.
- Complete additional tasks as directed.
