future role

Take on a new challenge and apply your organizational and communication expertise in a new cutting‑edge field. You’ll work alongside collaborative and detail‑oriented teammates.

You'll play a critical role in supporting the Train System Métier, Bogie and the Interiors teams and ensuring the smooth functioning of the activities. Day‑to‑day, you’ll work closely with teams across the business (e.g., engineering teams, HR), maintain effective communication channels, and manage administrative tasks to keep the teams organized and focused.

Responsibilities

You’ll specifically take care of calendar management, meeting coordination, expense reporting and provide onboarding support to newcomers.

We’ll look to you for:

  • Support timesheets & attendance management
  • Tracking annual leave and bi‑monthly approval of timesheets for the engineering teams

Create and manage travel authorizations for managers and external consultants.

Support employees with travel bookings.

Validate invoices and manage goods receipt acknowledgments.

Manage purchase requests (shopping carts) for indirect and direct procurements.

Liaise with Finance for budget checks, approvals, accruals and reclassifications.

  • Request laptops and coordinate with IT department.

Assist with reminders (timesheets, vacation periods, system changes).

Prepare and maintain budget reports for indirect hours, absences, training, admin and management ODCs.

  • Providing onboarding and other support to new team members (checklists, access setup, coordination).

Assist employees with visa and permit processes (documentation & follow‑up).

Maintain updated org chart of the different teams.

  • Undergraduate degree or higher
  • Expert‑level proficiency in Microsoft 365 tools:
    SharePoint, Outlook, Teams, Word, Excel, and Power Point
  • Minimum 5 years of experience in administrative support
  • Fluency in French and English, both written and oral
  • Strong prioritization skills and a good sense of initiative
  • Ability to anticipate and solve issues autonomously
  • Excellent multitasking and organizational abilities
  • A team‑oriented mindset with a strong focus on customer service
