Office Administrator/ Coordinator, Data Entry
Purpose of Role
Reporting to the Mine Manager, the Mine Site Administrator is responsible for ensuring that the administrative aspects of the mine are running smoothly and supporting the Copper World, Inc.’s Project Department.
Role Accountabilities Administrative SupportProvide general administrative support, including scheduling meetings, coordinating travel arrangements, and preparing correspondence for the project and health & safety teams.
Maintaining and submitting site leadership expense reports.
Maintain accurate and up-to-date records, documents, and filing systems related to project activities.
Prepare presentations, spreadsheets, and reports as required by management.
Assist in the preparation and monitoring of budgets and financial records.
Support site management in scheduling and coordinating daily operations.
Serve as a point of contact for employee inquiries.
Coordinate travel, accommodations, and transportation for site personnel.
Manage office supplies, equipment, and site infrastructure.
Oversee maintenance and repairs to ensure a safe and functional work environment.
Facilitate team meetings and support site communication initiatives.
Health & Safety DocumentationAssist the Health & Safety Manager in collecting, verifying, and recording daily production hours and ensuring data is accurate for reporting and analysis.
Prepare quarterly MSHA (Mine Safety and Health Administration) reports and ensure timely submission to maintain regulatory compliance.
Assist in tracking, documenting, and managing worker compensation claims and follow up with insurance providers as needed.
Data Management and ReportingEnsure accurate data entry for production hours, incident reports, and other relevant safety metrics in designated databases or systems.
Compile data to generate regular and ad-hoc reports on safety performance, production hours, and other project metrics.
Coordinate with various departments to gather information for reports, ensuring accuracy and timely submission.
Compliance and Record KeepingOrganize and maintain departmental files, both electronic and hard copy, for quick access and regular audits.
Track compliance deadlines and ensure all required documentation and submissions are up to date.
Manage site and departmental websites.
Minimum Qualifications and EducationHigh school diploma or equivalent;
Associate’s degree in business administration or related field preferred.
Knowledge of MSHA regulations, worker compensation processes, and safety reporting requirements is an asset.
Proficiency in Google Workplace applications and Microsoft Office Suite.
Strong organizational and multitasking skills with a keen eye for detail.
Excellent written and verbal communication skills.
Ability to handle sensitive information with confidentiality and professionalism.
Strong problem-solving abilities and capacity to work independently or in a team.
Maintain a drug and alcohol-free workplace.
Minimum of 2 years of administrative experience, with experience in mining or industrial environments preferred.
