As we continue to grow, we are looking for a reliable and detail-oriented individual to support our invoicing, billing, and office operations.

Position Overview

The Operations & Office Coordinator plays a key role in maintaining accurate financial records, managing billing processes, and ensuring smooth day-to-day office operations. This is an in-person role based in our St. Augustine office.

No prior experience is required — we are looking for someone dependable, organized, and eager to learn. Training will be provided.

Key Responsibilities Billing & Invoicing
  • Prepare and send client invoices using Zoho Invoicing and Quick Books
  • Maintain accurate billing records and reconcile accounts
  • Assist with tracking payments and following up on outstanding invoices
  • Maintain organized financial records and documentation
  • Update and manage data in Google Spreadsheets
  • Assist with basic reporting and operational tracking
Office Management
  • Manage office communications via Outlook
  • Maintain organized digital and physical filing systems
  • Support internal administrative processes
  • Assist leadership with operational and administrative tasks as needed
Qualifications
  • Strong attention to detail and organizational skills
  • Comfortable working with numbers and financial data
  • Basic computer proficiency
  • Willingness to learn new software platforms
  • Professional communication skills
  • Self-motivated and dependable
