JOB DESCRIPTION
The Registrar Clerk provides frontline service and administrative support to the Registrar’s Office, ensuring the accuracy of student records and the smooth operation of office functions. This positionshares responsibility for responding to student, faculty, staff,and parent inquiries; processing student record transactions; and supporting registration and graduation services.
RESPONSIBILITIESESSENTIAL FUNCTIONS:
- Frontline Service & Communication
- Serves as the first point of contact (in person, phone, email) for the Registrar’s Office with professionalism and astudent-centered approach.
- Responds to inquiries regarding registration, academic records,and general Registrar services.
- Prepares and distributes enrollment verification letters.
- Student Records Processing
- Processes forms and transactions such as name and addressupdates, transcript requests, enrollment verifications, FERPAreleases, course registrations, course withdrawals, paid cancels,and grade changes.
- Systems & Technology
- Utilizes multiple software solutions to manage and execute job functions.
- Assigns, tracks, and resolves service tickets accurately andtimely.
- Office & Event Support
- Participates in registration periods for all terms (fall,spring, summer, FlagSHIP).
- Supports office events and initiatives as assigned.
- Assists the College Registrar in monitoring FERPA compliance and safeguarding the confidentiality of student records.
MINIMUM QUALIFICATIONS:
- Associate’s degree or equivalent combination of education and related work experience.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel).
- Strong organizational and customer service skills.
- Bachelor’s degree.
- Two or more years of customer service experience in higher education or a related field.
- Knowledge of higher education procedures, student records, andregistrar functions.
- Standard office hours (8:00 a.m. – 5:00 p.m.), with occasionalevening and weekend hours required (e.g., term registration,graduation ceremony).
- Work performed under limited direct supervision, requiringdiscretion, accuracy, and confidentiality.
- This is a fast-paced environment with frequent interruptions,and the incumbent will be expected to perform with a high degree of accuracy and attention to detail.
