Practice Manager Levels:

  • Practice Manager I: 1 to 5 providers
  • Practice Manager II: 6-9 providers
  • Practice Manager III: 10+ providers
Responsibilities
  • Ensure day‑to‑day operations run efficiently, promote staff/provider collaboration, and maintain key objectives and metrics, including daily huddles.
  • Partner with operational leaders and the Talent Acquisition team to recruit staff and develop a staffing model aligned with practice objectives.
  • Manage patient access and provider scheduling workflows/processes to reduce complexity, drive provider utilization, and enhance patient access.
  • Optimize front‑desk check‑in/check‑out workflows/processes to reduce errors, improve financial performance, and increase patient satisfaction.
  • Support and manage clinical teams, working with the CSC team to ensure regulatory clinical compliance.
  • Review distribution lists and process requests from partners.
  • Provide monthly practice operations reviews to physicians and partners, including individual productivity metrics.
  • Collaborate with providers to develop ongoing access and capacity action plans that improve and maintain provider productivity and satisfaction.
  • Resolve marketing tickets, Google complaints, and other patient concerns.
  • Coach and mentor staff to promote development, engagement, retention, and growth opportunities.
  • Manage input/output data that drives P&L outcomes.
  • Maintain facilities to ensure a clean, pleasant environment representing Women’s Care quality and brand.
  • Ensure safety and regulatory compliance (partner with CSC) to meet or exceed internal policies, including CLIA, DEA, and IOS certifications.
  • Implement onboarding and ramping of new providers to achieve revenue and growth targets.
  • Oversee inventory, equipment, and supplies with strict expense controls.
  • Identify and correct billing issues in collaboration with operations leadership.
  • Monitor patient satisfaction of all services, address complaints, and handle customer service issues.
  • Track medical equipment for appropriate use and function.
  • Represent the practice at organizational meetings and provide input where appropriate.
  • Demonstrate Women’s Care mission and core values.
  • Comply with all HIPAA rules, regulations, and guidelines.
  • Perform other duties as assigned.
Qualifications
  • Bachelor’s degree in management, healthcare, or related field, or currently in process.
  • Minimum 3 years progressive medical practice experience, including OB‑GYN experience; 5 years required for Level III manager.
  • Computer literacy, especially with EMR systems; eClinical

    Works (eCW) preferred.
  • Knowledge of medical terminology, medical billing, and insurance reimbursement.
  • Understanding of healthcare financial management and P&L.
  • Dependable, reliable, punctual, with strong judgment and conscientiousness.
  • Experience in leading teams and resolving conflicts.
  • High ethical standards and integrity.
  • Strong leadership, influence, critical‑thinking, problem‑solving, and solution‑identifying skills.
