The Patient Care Coordinator is responsible for front office operations including patient scheduling, insurance verification, authorizations, registration, and communication with referring providers. The ideal candidate is dependable, detail-oriented, and enjoys helping patients navigate their healthcare journey.
This position is based primarily in our St. Augustine office, with occasional coverage and support in our Jacksonville location.
ResponsibilitiesPatient Experience & Front Office Coordination
- Welcome patients and provide a positive, professional first impression
- Answer incoming phone calls and assist patients with scheduling and questions
- Schedule consultations, procedures, ultrasounds, and follow-up appointments
- Confirm appointments and maintain provider schedules
- Coordinate patient transportation when needed
- Collect and update patient demographics, insurance information, and required forms
- Ensure patient charts are prepared and complete prior to appointments
Insurance & Administrative Support
- Verify insurance benefits and eligibility
- Obtain prior authorizations and referrals as required
- Communicate with insurance companies regarding coverage and approvals
- Assist with claim follow-up, denials, and appeals as needed
Maintain accurate documentation within the EMR and practice management systems - Scan and upload records, reports, and outside documentation
Provider & Referral Coordination
- Communicate with referring physician offices and facilities
- Obtain medical records, imaging, and laboratory results
- Coordinate pre-procedure requirements and patient instructions
- Ensure continuity of care between patients, providers, and referral sources
- Minimum 2 years of medical office experience preferred
- Experience with insurance verification and authorizations strongly preferred
- Excellent customer service and communication skills
- Strong organizational and multitasking abilities
- Ability to work independently and as part of a team
- Proficiency with computers, EMRs, Microsoft Office, and general office software
- Reliable transportation and willingness to travel occasionally between St. Augustine and Jacksonville
