Associate Registrar

The associate registrar is responsible for planning, organizing, and evaluating the daily functions of the Office of the Registrar. This position administers student enrollment activities, oversees the receipt and distribution of academic record information, manages and supports Office of the Registrar staff, and coordinates the functional use of the student information system within the Office of the Registrar.

Job Responsibilities and Execution

  • Acts as the primary point of contact and liaison with academic units on a range of complex scheduling, operational, and administrative issues related to the Office of the Registrar
  • Manages the daily operations of the Office of the Registrar, including the supervision and training of staff on student information systems and processes
  • Serves as the initial escalation point for student or employee concerns related to functions of/or services provided by the Office of the Registrar
  • Develops, implements, and maintains training materials for student information system users both within and outside of the Office of the Registrar
  • Implements updates to Office of the Registrar processes to simplify the student experience
  • Works with staff, faculty, and students to ensure compliance with FERPA
  • Coordinates and organizes commencement ceremonies with the Registrar and other campus offices
  • Collaborates with third-party vendors and the University's IT department for software testing, problem-solving, and upgrades
  • Oversees the cross-functionality of university registration and record systems
  • Keeps excellent written records and audit trails
  • Serves as a key contact and backup for NCAA compliance review and all related processes
  • Oversees the integration of transcript evaluation tools with other institutional processes and functions
  • Completes critical Registrar functions and processes when the Registrar is unavailable

Leadership and Strategic Thinking

  • Establishes long- and short-term strategic goals based on assessment data and ensures standards for the department and its field are met or exceeded
  • Adapts and modifies leadership based on new information and/or data; works to align individuals with new directions
  • Utilizes effective strategies to build collaboration to maximum execution
  • Aligns division and department purpose and actions with relevant University initiatives and higher education trends

Employee Management and Development

  • Supports the mission of the University and serves as an ambassador of the Q2 culture of service excellence
  • Models, supports, and holds others accountable to the University's values
  • Recruits, interviews, recommends, welcomes, observes, and monitors the performance of department staff
  • Sets clear performance expectations and holds employees accountable
  • Conducts annual employee evaluations based on evidence, observation, and feedback

Required Qualifications – An equivalent combination of education, training, and experience will be considered. Additional requirements may be designated by position.

  • Master's degree
  • 5 years experience in higher education or a related field
  • 3 years experience in a position related to higher education records, policies, and, procedures

Knowledge, Skills, and Abilities – May be representative, but not all inclusive, of the knowledge, skills, and abilities necessary to perform this job competently.

  • Demonstrated ability to work effectively with individuals from diverse communities and cultures
  • Knowledge of higher education policies, regulations, and best practices related to student records, registration, enrollment services, and FERPA compliance
  • Knowledge of student information systems and related technologies, including system administration, testing, troubleshooting, and process improvement
  • Skill in supervising, training, and developing staff while managing multiple priorities and operational deadlines
  • Skill in analyzing complex processes and data and implementing solutions that enhance operational efficiency and the student experience
  • Ability to communicate effectively and collaborate with faculty, staff, students, vendors, and other stakeholders while exercising sound judgment and maintaining confidentiality
