Location: St. Cloud

The Payroll & Benefits Coordinator is responsible for the accurate and timely processing of the district’s payroll and the comprehensive administration of employee benefits. This role serves as a critical link between school operations and staff satisfaction, ensuring compliance with state/federal laws, collective bargaining agreements, and district policies.

Essential Duties & Responsibilities

1. Payroll Administration

Cycle Management: Execute full-cycle semi-monthly payroll for all district employees (Certified, Classified, and Extracurricular, Independent Contracts).

System Maintenance: Maintain employee records within SMART Systems
, including wage rates, tax with holdings, and voluntary deductions.

Reporting: Prepare and submit quarterly and annual tax filings (W-2s, 941s) and state-mandated retirement reports (TRA/PERA).

Contract Interpretation: Accurately apply language from multiple Master Agreements to calculate longevity, stipends, and step-and-lane increases.

2. Benefits Coordination

Enrollment: Facilitate benefit onboarding for new hires regarding health, dental, life, and disability insurance.

Management: Serve as the primary liaison between the district and insurance carriers/brokers.

Compliance: Manage COBRA notifications, FMLA tracking, and ACA (Affordable Care Act) administration, PML administration.

Open Enrollment: Lead the annual open enrollment period, including preparing materials and conducting staff information sessions.

3. Financial Bookkeeping

Accounts Payable: Assist with coding and processing invoices related to benefit premiums and payroll liabilities.

Audit Support: Provide documentation and reports for annual district financial audits.

Required Knowledge, Skills, & Abilities

Self-Direction: Proven ability to work independently, prioritize tasks without constant supervision, and meet strict statutory deadlines.

Confidentiality: Demonstrated ability to maintain the highest level of professional ethics regarding sensitive personnel and financial information.

Communication: Ability to explain complex benefit and pay structures to staff members in a clear, supportive, and professional manner.

Accuracy: Exceptional attention to detail; a "check-then-double-check" approach to data entry.

Education & Experience

Minimum: Associate’s Degree in Accounting, Finance, or Business Administration (or equivalent years of experience).

Experience: 1+ years of experience in bookkeeping or payroll administration.

Preferred: Prior experience in a Minnesota Public School district and proficiency in SMART Systems

Prolonged periods of sitting at a desk and working on a computer. Must be able to navigate the nuances of complex state reporting systems and changing legislative requirements.
