Job Overview

The Sanctuary of St. Cloud is an affordable, friendly senior living community. We are located near Highway 10 and County 23 in St. Cloud, MN. Our beautiful community hosts 101 Assisted Living and 36 Memory Care apartments. Our residents enjoy worry-free living in a warm and friendly community with services to meet their individual needs.

This position is responsible for all activities related to Office Management including but not limited to: accounts receivable process for rents and other revenues, accounts payable, and clerical, front desk and marketing support as requested. The position also serves as the supervisor for the Receptionist. This position is for buildings that are 200+ units.

Responsibilities
  • Responsible for the Accounts Receivables Process:
  • Process all entries to the resident accounts, including confirming services and entering meal and other a la carte charges
  • Ensure charges are completed accurately and on time
  • Monitor account balances and assist in the collections process
  • Process occupancy, meal, and other reports
  • Assist with month end processes
  • Appropriately refund any over payments
  • Ensures paperwork for long term care insurance plan is completed as requested by the resident and invoices are sent
  • Receives checks and processes deposits.
  • Helps with month end billing by running statements and having the ED verify for accuracy.
  • Assists with the Accounts Payable process:
  • Reconciles and ties out Petty Cash (if applicable)
  • Owned - Prepares Check Requests and submits to Fairview A/P
  • Managed sites – prepares AP to be submitted to process
  • Receives invoices and distributes to appropriate Department for coding
  • Records coded invoices on AP log and submits invoices weekly or bi-weekly to Corporate office for payment
  • Records check numbers and payment dates on invoices; files invoices
  • Processes new vendors
  • Provides leadership and supervision of the Receptionists:
  • Develops goals with Receptionists and holds them accountable to their job responsibilities
  • Develops the schedule for Receptionists
  • Ensures Receptionists shifts are assigned and/or covered due to absences
  • Monitor Receptionists workflow and ensure projects are complete
  • Completes annual performance reviews
  • Provides clerical, front desk and marketing support as requested:
  • Assists leaders with scheduling new employee interviews
  • Assists with coordinating non-clinical new employee hiring process and paperwork
  • Assist with coordinating new employee site orientation and training
  • Drafts agendas and assists in coordination of meetings
  • Helps monitor staff completion of training and annual education requirements and notifies Leader is staff are non-compliant
  • Reviews Educare for all departments reporting issues to the appropriate supervisor
  • Assist with employee personnel file set up, maintenance, and audits
  • Maintains Resident Directories
  • Provides backup for prospective resident tours
  • May type memos, minutes of meetings, letters, etc.
  • May copy, collate and file documents
  • May assist in scheduling meetings
  • Maintains calendars for building rooms (example: guest suite, community room, private dining, etc)
  • Monitors office supplies inventory and orders as needed
  • Relieves Receptionist for scheduled breaks
  • Fills in at the Receptionist Desk as needed when no coverage is available
  • Assist with marketing events
  • Assists in setting up new residents in various systems (examples: Eldermark, eMenu, eNotify, etc.)
Required Qualifications
  • 1 year One to Three Years
  • Proficiency in Microsoft applications
  • Knowledge of and sensitivity to the needs of the geriatric population
Preferred Qualifications
  • Vocational/Technical Training or Associate Degree
  • 3 years Three to Five Years
