JOB SUMMARY
We are looking for a dedicated Client Support Specialist to join our team! This role is crucial for providing essential administrative and office support while ensuring that our clients feel welcomed and valued. You will be the first point of contact for both internal and external customers, making your role extremely important in our company.
ESSENTIAL JOB DUTIES- Deliver outstanding customer service by greeting all visitors—whether in person, over the phone, or via e-mail. Assess their needs and direct them accordingly.
- Collaborate with the Billing department and Accounting team to share essential information about customer accounts and orders.
- Assist Human Resources with payroll processes, ensuring accuracy and timely submission. Prepare materials for new hires and help manage HR documentation.
- Utilize organizational systems effectively and help team members navigate these systems when needed.
- Process Certificates of Insurance (COI) for customers and manage any additional insured requests as per company guidelines.
- Handle all incoming and outgoing mail, ensuring proper distribution and processing.
- Maintain inventory by tracking office supplies and submitting purchase requests for approval.
- Assist in processing customer payments and perform collections responsibilities as needed.
- Ensure the office environment is clean and organized.
- Scheduling Responsibilities:
- Daily processing of open work orders and coordination of technicians' schedules to optimize efficiency.
- Manage a master schedule for technicians to provide transparency for supervisors and leadership.
- Resolve scheduling conflicts and update account details as required.
- Other duties may be assigned as necessary.
The following qualifications are needed to succeed in this role. However, an equivalent combination of education, training, and experience may be considered.
Education, Training, Certifications- High School Diploma or GED required.
- 2 years of customer service experience.
- 2 years of professional computer experience.
- 1 year of front desk experience.
- 1 year of scheduling experience, with a general knowledge of local geographic areas being a plus.
- Strong ability to read, write, and communicate effectively in English with both employees and customers.
- Proficiency in using computers and advanced Microsoft Office applications (Excel, Word, Outlook) is required.
- A valid driver's license with an acceptable driving record is required.
