Job Summary & Basic Function

The Administrative Specialist II supports the Office of Community Development and OgdenCAN by coordinating project and grant tracking, MOUs, board support, and budget monitoring. The role also manages communications efforts—including annual reports, presentations, social media, website updates, email blasts, partner engagement, and event flyers—to showcase ongoing initiatives and the impact of OgdenCAN’s programs and partnerships. By combining reliable operational support with compelling public engagement, the coordinator serves as a central connector across staff, partners, and the community, ensuring initiatives remain on track, amplifying the organization’s message, and strengthening relationships with the board, anchor institutions, OgdenCAN fellows, and the neighborhood.

Roles and Responsibilities
  • Coordinate and monitor project and grant tracking, MOUs, and budgetary activities.
  • Support board meetings and documentation.
  • Develop and manage communication materials for annual reports, presentations, social media, website, email blasts, and event flyers.
  • Engage partners and stakeholders to promote community initiatives.
  • Maintain accurate data and records for internal and external reporting.
  • Collaborate with staff, partners, and community members to strengthen outreach efforts.
Required Qualifications
  • High School diploma or equivalent.
  • At least 2 years of related experience.
Preferred Qualifications
  • Proficiency with Microsoft and Google Workplace Suites and project‑management tools.
  • Excellent written and verbal communication skills; organized, detail‑oriented, proactive, with strong social skills and confidence in working with diverse clients.
  • Experience with budgeting and purchasing processes.
  • Experience with social media and design programs such as Adobe Express (similar to Canva).
Background Check

Background check required as a condition of employment.

Physical Requirements
  • Medium work, including moving objects up to 50 pounds occasionally, up to 30 pounds frequently, or up to 10 pounds constantly.
  • Ability to perform tasks such as preparing and analyzing data, transcribing, and using a computer terminal.
Visual Acuity Requirements

Visual acuity is required for tasks that involve preparing and analyzing data, transcribing, using a computer terminal, and extensive reading.

Conditions of Employment

None. The worker is not substantially exposed to adverse environmental conditions typical of office or administrative work.

Compensation

Annual salary for this 0.80 FTE position starts at $28,400 and may increase based on qualifications.
