Office Administrator/ Coordinator
Provide administrative support to the Art Department Chair, faculty, and support staff within the College of the Arts. This position also supervises part‑time clerical staff and coordinates part‑time payroll transactions within the departments. The Art department offers a broad foundation in the visual arts.
Responsibilities- Assist department chair with administrative support duties, including but not limited to: completion of payroll transactions, tracking budgets and other financial data, arranging prospective faculty visits and adjunct faculty interviews, placing maintenance requests, and taking minutes at departmental meetings.
- Prepare purchase requisitions and/or use of purchasing card for department office supplies, equipment, etc.
- Reconcile purchases to department budget using the University’s operating system.
- Coordinate department reception area by answering the telephone, taking messages, distributing mail, and assisting visitors to the department. Coordinate with other college administrative assistants and the Dean’s administrative specialist to ensure smooth operation of college transactions.
- Assist department faculty with office set up, scheduling of classrooms/conference rooms on Event Management Systems, ordering desk/exam copies from publishers, and scheduling/catering for department events.
- Hire, train, and supervise part‑time clerical staff within the departments; coordinate paperwork and timecard processing for other part‑time student hires in the department (teaching assistants, art models, etc.).
- Perform other duties as assigned.
- High school diploma/GED with some college coursework and/or a post‑secondary certificate required;
Associates or Bachelor’s degree preferred. - Two years’ office experience required; experience working in higher education preferred.
- Ability to establish and maintain effective working relations with staff, faculty, students, and community members.
- Ability to communicate effectively, both orally and in writing.
- Good working knowledge of financial record‑keeping procedures.
- Ability to organize, prioritize, and multi‑task with faculty, staff, and students.
- Knowledge of professional office practices, procedures, and equipment.
- Good working knowledge of computer software such as Word, PowerPoint, and Excel.
- Ability to maintain confidentiality.
Full‑time overtime‑eligible staff position. Annual salary of $36,500 with a desired start date of August/September 2026.
