Position OverviewArayna is seeking a detail-oriented, customer-focused Transition Assistance Program (TAP) Clerk / Administrative Assistant to support the Military & Family Readiness Center at Hill Air Force Base.
The role supports separating and retiring service members as they complete required Transition Assistance Program activities.
The selected candidate will manage scheduling, data entry, completion tracking, workshop coordination, classroom preparation, front-desk support, and customer communications while working in accordance with Air Force procedures, privacy requirements, and military customs and courtesies.
This is a full-time, customer-facing administrative role requiring strong organization, professionalism, accuracy, and comfort working in a structured military environment.
Key Responsibilities TAP Scheduling, Outreach, and Customer Support- Contact service members identified as being within 18–24 months of separation or retirement and support scheduling for required TAP activities.
- Serve as the primary scheduler for TAP appointments using approved M&FRC systems, AFFIRST, and Outlook calendars.
- Maintain live telephone coverage during operating hours and route, action, or distribute voicemail inquiries within required time frames.
- Monitor the TAP organizational inbox and provide a response, status update, or appropriate escalation within one business day.
- Communicate TAP requirements, appointment information, workshop schedules, and next steps clearly and professionally.
- Escalate inappropriate, unusual, or concerning customer interactions through the appropriate M&FRC chain within required timelines.
- Create, update, and manage TAP workshop sessions within AFFIRST, TAP Events, and other approved Government systems.
- Assign service members to required appointments and maintain accurate completion and attendance records.
- Send workshop reminders to registered participants at least five business days before scheduled classes or tracks.
- Support service members with requests for TAP-related records, including vMETs, DD Form 2648s, and other authorized documentation through mil Connect or approved systems.
- Prepare classrooms at least 30 minutes before workshops by staging materials, checking audiovisual and IT equipment, and ensuring readiness for instruction.
- Track daily issuance and recovery of Government-provided student computer equipment and promptly report missing, damaged, or unaccounted-for property.
- Verify workshop attendance at the start of the day and after lunch, then record final attendance rosters in AFFIRST within required deadlines.
- Notify a service member’s leadership within required timelines when an unexcused workshop absence occurs.
- Provide professional front-desk reception coverage as requested by the M&FRC Flight Chief.
- Greet visitors, answer incoming calls, direct customers to appropriate offices or personnel, and maintain a courteous, service-oriented environment.
- Assist customers with required Statements of Understanding and other program forms.
- Document daily mission-support activities accurately in AFFIRST and related systems of record.
- Support Emergency Family Assistance Center reception operations during an activation, as directed.
- Maintain TAP materials, classroom spaces, and reception areas in an organized, professional, mission-ready condition.
- Protect sensitive personal, family, and program information in accordance with Privacy Act requirements, Controlled Unclassified Information handling expectations, and Government procedures.
- Safeguard Government-issued equipment, records, files, keys, and other property.
- Complete required onboarding, cybersecurity, OPSEC, privacy, and mission-essential training.
