Position Overview: The Terminal Clerk plays a vital role in the smooth and efficient operation of our freight terminal. Acting as a key link between our customers, drivers, and operations team, the Terminal Clerk is responsible for the accurate processing of freight documentation, dispatch preparation, and exception monitoring. This position requires a detail-oriented professional who thrives in a fast-paced logistics environment, communicates proactively, and takes ownership of data accuracy from freight entry through to trip reconciliation.
Location: Saint John, NBSchedule
: Monday – Friday | 11:00am - 8:00pm
Type: In-office
Salary Range: $35,000 - $40,000
Key Responsibilities:
- Identify and proactively respond to customer needs, inquiries, and concerns in a timely and professional manner
- Enter freight bills accurately and on time from a variety of mediums, ensuring data integrity throughout
- Print and prepare documentation packages for the operations team to support daily workflow
- Prepare and set up trips for dispatch within dispatching software system (Truckmate) in accordance with operational schedules
- Reconcile completed trips in accordance with established driver check-in procedures
- Code undelivered freight bills and follow up to resolve outstanding items
- Monitor and follow up on overage, shortage, and damage (OS&D) claims
- Monitor the No POD (Proof of Delivery) report and take appropriate corrective action
- Conduct On Time Delivery exception auditing and escalate issues as required
- Scan and file documents accurately to maintain organized and up-to-date records
- Attend all pre-planned meetings and contribute to continuous improvement initiatives
- Perform other tasks as assigned by the Terminal Supervisor or Regional Manager
What We’re Looking For
Qualifications:
Education & Experience
- High school diploma or equivalent required; post-secondary education in logistics, business, or a related field is an asset
- 1–2 years of experience in a freight, logistics, or transportation environment preferred
- Prior experience with a Transportation Management System (TMS) — Truckmate experience is a strong asset
- Prior office or administrative experience is preferred; experience with Canada Border Services Agency (CBSA) procedures, customers documentation, and in-bond shipments is considered a strong asset
Skills & Competencies
- Strong data entry skills with a high level of accuracy and attention to detail
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Ability to multitask and prioritize in a high-volume, time-sensitive environment
- Clear and professional verbal and written communication skills
- Comfortable communicating professionally by phone with external partners, including CBSA officers and customs brokers
- Strong organizational skills with the ability to manage competing deadlines
- Customer-focused mindset with a proactive, solutions-oriented approach
- Ability to work both independently and collaboratively as part of a team
- Knowledge of freight industry terminology and documentation (bills of lading, PODs, OS&D) is an asset
