Position OverviewThe Administrative Assistant/Receptionist is a highly visible, client-facing role responsible for supporting daily office operations and delivering an exceptional client experience. As the first voice clients hear and the first face they see, this individual sets the tone for every interaction with our firm.
This position supports advisors and team members by coordinating schedules, managing administrative processes, maintaining client records, and ensuring the office remains organized and client-ready. Success in this role requires excellent communication skills, strong attention to detail, a positive attitude, and the ability to manage multiple priorities in a fast-paced environment.
This position is employed by an independent advisor franchisee with a private wealth advisory practice of Ameriprise Financial.
Key Responsibilities Client Service & Reception- Welcome clients and visitors with professionalism and hospitality.
- Answer, screen, and direct incoming phone calls.
- Maintain a positive and professional first impression for all clients and guests.
- Document client communications and interactions accurately.
- Coordinate and manage calendars for multiple advisors including scheduling and confirming all client meetings.
- Prepare and process client correspondence, mailings, and other communications.
- Sort, review, distribute, and process incoming and outgoing mail.
- Responsible for office opening and closing procedures.
- Responsible for ensuring conference rooms, reception areas, and common spaces remain organized and client-ready.
- Prior experience in a receptionist, administrative assistant, customer service, hospitality, or client-facing role.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
- Exceptional attention to detail and accuracy.
- Ability to manage multiple priorities and work independently.
- Presents a professional demeanor and appearance consistent with a high-touch wealth management practice.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel. Salesforce experience a plus.
- Post-secondary education preferred
- 10+years of demonstrated success in a professional office environment.
