The University Registrar serves as the chief steward of academic records and processes at MoWest, ensuring the integrity, accuracy, and security of student academic information. The Registrar provides leadership for registration, academic records, course scheduling, grading, degree audit, and commencement processes while advancing a student‑centered, service‑oriented approach aligned with the university’s applied learning and open‑access mission.

The Registrar plays a critical role in supporting transfer students, adult learners, and first‑generation students; ensuring compliance with Missouri and federal regulations; and collaborating across academic and student affairs to promote access, persistence, and timely degree completion.

Academic Records, Registration & Scheduling
  • Direct all registrar operations, including registration, academic records, grading, transcripts, enrollment verification, degree audit, and athletic eligibility.
  • Oversee development and maintenance of the academic calendar in compliance with Missouri public higher education requirements and institutional policies.
  • Coordinate course scheduling and classroom utilization in collaboration with academic departments and institutional leadership.
Academic Policy & Faculty Governance
  • Interpret, implement, and consistently apply academic policies approved by faculty governance and senior administration.
  • Serve as an advisor to faculty committees related to curriculum, academic standards, and policy.
  • Ensure transparent and equitable application of academic regulations across all programs and modalities.
Compliance & Reporting
  • Ensure compliance with FERPA, state statutes, federal regulations, accreditation standards, NCAAguidelines, and Missouri Department of Higher Education and Workforce Development (MDHEWD) reporting requirements.
  • Oversee accurate reporting of enrollment, credit hour production, degrees awarded, and related data for state and federal purposes (e.g., IPEDS, MDHEWD).
  • Maintain audit‑ready academic records and documentation.
Student‑Centered Services & Access
  • Lead a registrar’s office culture that is accessible, responsive, and student‑focused, particularly for transfer students, adult learners, and underserved populations.
  • Collaborate with admissions, advising, financial aid, student success, and enrollment management units to streamline processes and reduce administrative barriers.
  • Support transfer articulation, dual credit, prior learning assessment, and accelerated or alternative credential pathways.
Systems, Data Integrity & Process Improvement
  • Serve as the functional lead for the student information system (SIS), partnering with Information Technology on system enhancements, testing, troubleshooting, and data governance.
  • Ensure accuracy and consistency of academic data used for institutional planning, budgeting, and decision‑making.
  • Lead continuous improvement initiatives to modernize registrar processes, increase efficiency, and enhance service delivery.
Leadership & Staff Development
  • Supervise and develop registrar’s office staff, including hiring, training, evaluation, and cross‑training.
  • Establish and maintain clear procedures, documentation, and service standards appropriate for a small, public university environment.
  • Foster a collaborative, accountable, and adaptable team culture.
  • Oversee the budget of the Office of the Registrar.
Institutional Collaboration & Strategic Support
  • Partner with academic leadership to support new academic programs, online and hybrid delivery, and workforce‑aligned credentials responsive to Missouri regional needs.
  • Contribute data and operational insight to enrollment management, retention, and completion initiatives.
  • Participate in institutional planning, committee assignments, accreditation, and assessment activities as assigned.
Knowledge, Skills, and Abilities
  • Understanding of the higher education environment.
  • Knowledge of FERPA and confidentiality guidelines.
  • Strong analytical skills.
Requirements
  • This position requires a Master’s Degree.
  • Must have three to five years of experience in a higher education environment.
  • Experience with higher education ERP systems (Banner, Workday, etc).
  • Proficient in computers, technology, and other general office equipment.
  • Organized thinker with exceptional attention to detail.
  • Excellent communication skills, both verbally and in writing.
  • Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
  • Ability to meet strict deadlines.
