Basic Function

The Student Accounts Coordinator and Third-Party Billing Administrator supports the Financial Services Office by managing third-party billing, payments, and account adjustments. This role ensures compliance with federal, state, and institutional policies while providing excellent customer service to students, families, and campus departments

Primary Duties and Responsibilities
  • Process account refunds, credit balances, emergency loan applications, and return of funds purchase orders in compliance with federal and institutional timelines.
  • Process returns of funds purchase orders for scholarship/ePay over payments; monitor expired refund checks and reissue or return per 240-day rule.
  • Respond to billing and payment inquiries via phone, email, and in-person; manage the student accounts inbox; and provide guidance to students and families.
  • Invoice and reconcile third-party billing (VA, TA, 529, 3

    Pay), maintain proper credentials for Veteran Affairs, and ensure compliance with state and federal regulations.
  • Coordinate with Financial Aid staff to resolve discrepancies affecting billing and refunds, ensuring accurate account management and student satisfaction.
  • Process batch adjustments for add/drop activity, withdrawals, meal plans, miscellaneous fines and charges, and maintain accurate student billing records.
  • Maintain audit spreadsheets, update billing-related policies and procedure manuals, and stay current on regulatory changes impacting student accounts.

Associate’s degree in accounting, business administration or related field or 1 – 2 years of experience in financial services, accounting or customer service.

Preferred Education/Experience

Bachelor’s degree in accounting, finance, or business administration or 3 – 5 years of experience in higher education student accounts or financial aid.
