The Operations & Client Service Coordinator will support the workflow, project management & resources coordination within the Assurance and Tax departments. This role will assist in keeping the Assurance and Tax departments focused, organized, and on track to provide excellent client service to our team and our clients. This individual will have strong business acumen, client/customer focus, and interpersonal skills.
Major Responsibilities- Assist with the oversight and monitoring of the scheduling and resource coordinators in all the locations of the firm.
- Monitor workflow timelines and communicate with internal team to provide updates.
- Schedule, coordinate logistics, and assist creation of content for meetings with managers & partners on an as needed basis.
- Draft department communications for Service Unit Leaders - Assurance and Tax
- Provide department project management oversight for Service Unit Leaders - Assurance and Tax
- Assist with administrative tasks, including calendar management, document preparation, data entry, and digital file management.
- Coordinate and manage client engagement scheduling team, utilizing scheduling software and tools for staffing across our office locations.
- Collaborate with key stakeholders and team members to assist with managing resources and meeting client service expectations.
- Other duties, as assigned.
- Bachelor’s Degree
- 2+ years of experience in project management, client service, or administrative roles, preferably within a public accounting firm or professional services environment.
- 2 years of advanced Microsoft Office skills
- 2 years of client service experience with excellent written and verbal communication
- Exceptional organizational and time management skills.
- Strong interpersonal and client communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
- Ability to work independently and collaboratively in a team-oriented environment.
- The typical office hours are 8:00 a.m. to 5:00 p.m.
- Ability to work extra hours as determined by the workload and client expectations.
- Travel for this position will be approximately 5% of the year.
- Ability to sit for long periods of time.
- Ability to move throughout office.
- Ability to lift, carry, push, pull up to 10-30 pounds.
- Ability to effectively communicate with clients, team members, etc.
