We are looking for an Administrative Assistant to support the daily operations of the Safety & Maintenance Department by handling a variety of administrative and logistical tasks. This role will be responsible for maintaining accurate records, managing inventory and supplies, coordinating service schedules, and assisting with compliance documentation. This position is a vital part in ensuring smooth departmental operations, promoting a clean and safe working environment, and contributing to the overall effectiveness and efficiency of the Maintenance team.
Key Responsibilities:
Administrative Tasks:
- Maintaining records of maintenance activities, work orders, and inventory
- Managing and organizing files, both physical and digital
- Tracking and ordering maintenance supplies and equipment
- Analyzing asset data to assess costs and depreciation values
- Scheduling appointments, meetings, and repairs
- Preparing reports on maintenance activities and costs
- Managing and distributing information to staff
Maintenance Support:
- Working with in-house mechanics to create schedules, repairs, required equipment, and time entry
- Working with operations on prioritizing asset requirements
- Monitoring and maintaining fleet management
- Ensuring a safe and organized work environment
General Support:
- Pricing and sourcing parts; handling pickup & delivery
- Facilitating licensing, registration, plating, and inspections of company vehicles
- Providing general office support to the Safety & Maintenance team
- Coordinating with vendors and contractors as needed
Skills and
Qualifications:
- Strong organizational, communication, and computer skills (including Microsoft Office) are essential.
- Ability to identify and troubleshoot minor issues.
- Effective communication with team members, supervisors, and other staff.
- Familiarity with general Equipment and Vehicle maintenance procedures, tools, and safety practices preferred.
- May require some lifting, bending, and standing for extended periods.
