The Urban League of Metropolitan St. Louis, the leading champion of empowerment and opportunity for individuals throughout the region in securing economic self-reliance, social equality, and civil rights, is seeking a highly motivated individual with a passion for helping others to work as a Senior Program Assistant.
The Senior Program Assistant supports multi-site program operations and grant compliance efforts by providing administrative, logistical, and operational support across program locations. This role works closely with the Senior Director and Program Director to ensure timely completion of program tasks, accurate documentation, and efficient coordination of resources and services.
Key responsibilities- Support grant operations across multiple program locations through accurate data entry and file management.
- Complete and process check requests and ensure timely submission of required documentation.
- Maintain organized participant and program files to ensure completion and audit readiness.
- Coordinate program event logistics, including preparation, scheduling, supply coordination, and on-site support.
- Receive and prioritize assignments from the Senior Director and Program Director based on operational needs.
- Facilitate check drop-offs and delivery coordination for program locations.
- Order and maintain office and program supplies for multiple locations.
- Track inventory and communicate operational needs to leadership.
- Assist with preparing reports, spreadsheets, and supporting documentation for program activities and audits.
- Communicate effectively with staff, vendors, and community partners to support daily operations.
- Maintain confidentiality and professionalism when handling participant and organizational information.
- Other duties assigned.
- Strong organizational and administrative skills with attention to detail.
- Experience with data entry, document management, and audit preparation.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and database systems.
- Ability to work independently and collaboratively across multiple locations.
- Experience supporting grant-funded programs preferred.
- Ability to maintain confidentiality.
- Reliable transportation and ability to travel between program locations as needed.
