Office Manager – Residential Moving Company

Job Summary

The Office Manager is responsible for overseeing daily administrative operations of a residential moving company. This role ensures efficient scheduling, customer service excellence, accurate billing, and accurate accounting using Quickbooks Online. The ideal candidate is highly organized, customer-focused, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities
  • Manage day-to-day office operations, including phone calls, emails, and customer inquiries
  • Schedule residential moves and coordinate logistics with Crew Coordinator
  • Prepare and process estimates, invoices, and payments
  • Take accurate Household Goods inventories from clients
  • Maintain accurate customer records and job documentation
  • Handle customer concerns, complaints, and service follow-ups professionally
  • Supervise and support administrative staff, including hiring and training as needed
  • Coordinate with operations team to ensure timely and efficient job execution
  • Monitor office supplies and manage vendor relationships
  • Conduct payroll and basic bookkeeping tasks
  • Ensure compliance with company policies and relevant regulations
Qualifications
  • High school diploma or equivalent (associate’s or bachelor’s degree preferred)
  • 2+ years of office management or administrative experience (moving or logistics industry preferred)
  • Strong organizational and multitasking skills
  • Excellent communication and customer service abilities
  • Proficiency in Microsoft Office and scheduling/CRM software
  • Proficiency in Quick Books Online
  • Ability to work under pressure and solve problems quickly
  • Attention to detail and strong follow-through
