Position Summary Precision Scale is seeking a highly organized and detail-oriented Administrative Coordinator to support daily office operations and ensure efficient business processes.

This individual will serve as a key point of contact for customers, vendors, and internal team members while providing administrative support across multiple departments. The ideal candidate is professional, customer-focused, proactive, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities
• Answer and direct incoming phone calls, emails, and customer inquiries in a professional manner.
• Greet visitors and provide exceptional customer service.
• Manage calendars, schedule appointments, meetings, and service calls.
• Prepare, process, and maintain customer orders, invoices, purchase orders, and other business documents.
• Coordinate office communications, mail distribution, and shipping/receiving activities.
• Maintain accurate records, databases, filing systems, and customer information.
• Assist with data entry, report generation, and document preparation.
• Support accounting functions including invoice processing, expense tracking, and accounts receivable/payable activities.
• Coordinate with technicians, sales representatives, and operations staff to ensure timely customer service and project completion.
• Order and maintain office supplies and equipment.
• Assist with special projects and other administrative duties as assigned. Qualifications

Required:

• High school diploma or equivalent required;
Associate degree preferred.
• 2+ years of administrative, office support, or customer service experience.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Strong written and verbal communication skills.
• Excellent organizational skills with exceptional attention to detail.
• Ability to prioritize tasks, manage deadlines, and multitask effectively.
• Professional demeanor and strong interpersonal skills. Preferred:
• Experience in a service, industrial, manufacturing, or distribution environment.
• Familiarity with ERP, CRM, or accounting software.
• Experience supporting field service or technical teams. Knowledge, Skills & Abilities
• Strong customer service orientation.
• Ability to maintain confidentiality and handle sensitive information.
• Self-motivated with the ability to work independently and collaboratively.
• Strong problem-solving and critical-thinking abilities.
• Ability to lift up to 40 lbs.
