Office Administrator/ Coordinator
Job Description
Essential Duties and Responsibilities include the following; other duties may be assigned as necessary:
- Provide administrative assistant support to director and curators.
- Coordinate membership program, perform necessary tasks for maintenance of membership database and records.
- Record cash and in-kind donations including those for Barriger and Pott Libraries; print thank you letters for cash and in-kind gifts for appropriate signature.
- Coordinate planning and execution of all library events to include weekend and evening programs.
- Coordinate planning and execution of all library board meetings.
- Purchase office supplies, archival and cataloguing materials, and other items as needed in accordance with the library’s budget and director’s approval. Ensure all purchases adhere to the University of Missouri System’s Procurement policies and procedures.
- Assist with design, formatting and production of event and collection related printed materials.
- Provide other assistance to director and curators as required.
Mercantile Library
This position reports to the Executive Director of the St. Louis Mercantile Library.
Shift40 hours/week, Monday through Friday. Typical shift: 8am-5pm with some flexibility; occasional evenings and weekends for special events.
Minimum QualificationsBachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications- Working knowledge of the Adobe suite, particularly Photoshop and Acrobat
- Experience and/or training in Graphic Art
- Experience in a library or museum setting is a plus
- Complete proficiency with the full Microsoft Office suite
- Exceptional verbal and written communication skills
- Excellent organizational skills and careful attention to detail
- Ability to work effectively in a fast-paced environment that requires multitasking
- Reliability and punctuality are essential
- Strong people skills and an excellent customer service attitude
- Ability to lift forty pounds and push a loaded cart
