Position Summary
This 6-to-8-month, time-limited position provides advanced administrative and operational support to the international student and scholar teams. The incumbent may primarily support one or both teams depending on office needs and experience. The role assists with office functions, immigration-related processing tasks, and front-line customer service, working with moderate supervision and following established procedures. The incumbent helps maintain accurate records in university systems and supports day-to-day office operations that contribute to institutional compliance with federal immigration regulations.
Weekly hours may vary depending on office needs and peak workload periods.
37.5 hours weekly.
Responsibilities- Administrative Support for OISS: assists with front‑line operations during peak periods, manages office inbox inquiries, answers phones, and provides front‑desk coverage.
- Triages inquiries from the international population and campus partners, providing accurate information, guidance on standard processes, and escalation to full‑time advisers or supervisors as appropriate.
- Operational Support: assists with special projects such as developing and reviewing online courses, resources, and content in Homebase and on the OISS website; supports implementation of process improvements and standard operating procedures by following instructions and providing feedback on workflows.
- Immigration Compliance Support: verifies, inputs, and updates international student, scholar, and employee information in Workday and other university systems, ensuring accuracy and timeliness; may provide temporary advising case load support during peak periods or extended absences of regular staff; assists with processing immigration requests (e.g., immigration check‑ins, employment authorization, travel endorsements).
- Assists with data cleaning, data correction, and data migration projects.
- Handles copying, filing, and mailing processes as needed.
- Performs additional duties and special projects as assigned.

- High school diploma or equivalent high school certification or a combination of education and experience.
- Required qualifications:
high school diploma or equivalent; 3 years of relevant experience. - No specific certification or professional license required.
- U.S. citizen or lawful permanent resident must provide proof of status.
- Designation as a Designated School Official (DSO) and Alternate Responsible Officer (ARO) within one month of the start date (training provided).
- Experience serving as a DSO and/or ARO with hands‑on SEVIS experience.
- Experience working with F‑1 and J‑1 students and J‑1 scholars.
- Accountability in data management and record‑keeping.
- Knowledge of relevant software (e.g., Workday, Terra Dotta) and databases.
- Associate degree.
- Skills:
confidential documents, data management, detail‑oriented, high accuracy, Microsoft Excel, Microsoft Word, recordkeeping, sound judgment, task organization, time management.
- Up to 22 days of vacation, 10 recognized holidays, and sick time.
