Operations Coordinator
Nurses for Newborns partners with expecting and new parents, babies, and families by providing compassionate nursing support, counseling, parenting education, and resources throughout the greater St. Louis area.
Based in Maplewood, Missouri, we are seeking a part-time Operations Coordinator to support the daily operations of our facility. This position will open the building each morning, maintain a safe and functional work environment, coordinate with vendors and property management, and manage essential operational details.
The ideal candidate has experience in facilities coordination, office operations, property services, administrative support, or a related field, along with strong customer service and communication skills. This person will work independently, follow established procedures, exercise sound judgment, maintain confidentiality, and consistently complete assigned responsibilities.
Schedule and LocationPart-time, approximately
10–12 hours per week
Monday through Friday, beginning at8:30 a.m.
In-person at our Maplewood facility
Schedule may be adjusted based on organizational needs
Regular attendance and punctuality are essential
Key Responsibilities
Open the building each morning according to established procedures.
Serve as a primary contact for property management, vendors, service providers, and facility-related matters.
Coordinate building maintenance, repairs, utilities, office equipment, and communication systems.
Monitor vendor performance and follow up on outstanding service requests.
Maintain professional and responsive communication with staff, vendors, visitors, and property management.
Complete daily opening procedures and ensure the facility is ready for staff and visitors.
Maintain common areas, kitchen and breakroom areas, parking areas, warehouse spaces, and other shared environments.
Monitor office and facility supply levels and coordinate replenishment.
Manage routine waste disposal and shredding.
Complete monthly maintenance activities, including drain flushing and ceiling tile checks.
Identify and report facility, maintenance, safety, or security concerns.
Follow and help maintain safety procedures, emergency protocols, and required facility signage.
Coordinate routine inspections, including fire safety, pest control, and food safety inspections.
Respond appropriately to facility emergencies and communicate concerns promptly.
Support building closures, holiday signage, and after-hours security procedures.
Maintain control of building keys and access information.
Follow all opening, closing, and building-security procedures.
Protect confidential information and organizational property.
Track facility-related expenses and assist with monitoring the facility budget.
Verify invoices and submit them to Finance accurately and on time.
Follow up with vendors regarding delayed invoices, billing questions, or service concerns.
Maintain organized records of facility-related activities and expenses.
Maintain current emergency contact information for leadership and relevant service providers.
Communicate facility concerns, safety issues, and operational needs clearly and promptly.
Work independently while keeping appropriate staff informed.
Provide consistent coverage during planned absences or changes in building operations.
High school diploma or equivalent.
1-3 years of prior experience in facilities, building operations, office operations, property services, administrative coordination, or a related field.
Demonstrated ability to provide excellent customer service to staff, vendors, visitors, and community partners.
Demonstrated history of regular attendance, punctuality, accountability, and completing responsibilities as assigned.
Ability to work independently and make sound decisions within established procedures.
Strong organizational skills and attention to detail.
Basic financial administrative skills, including tracking expenses, monitoring budgets, and processing invoices.
