Job Title

Mailroom Coordinator

Job Description Summary

Responsible for managing all incoming and outgoing mail and package services, including sorting, distribution, postage processing, shipping documentation, carrier coordination, package tracking, and special handling requirements. Maintains mailroom equipment and supplies, processes related invoices, investigates undeliverable mail, and provides courier services for the site. Tracks mail and package activity, maintains logs and reports on volume and costs, and serves as a liaison for shipment inquiries.

Additionally supports the Operations Team with deliveries, meeting and event setup, day porter assistance, and light administrative tasks. Ensures compliance with all company policies, safety standards, procedures, and regulations while prioritizing safety, operational efficiency, and customer service.

Job Description
  • Receives, sorts and distributes incoming and outgoing mail and packages
  • Weighs and calculates postage for outgoing mail/packages for common carriers (e.g. US Postal Service and Fed Ex)
  • Completes required mail / package forms (registered mail, international documentation, etc.)
  • Processes mailroom related invoices
  • Arranges for pickup of outgoing US mail/packages (non- product related)
  • Maintains postage equipment and renews necessary supplies
  • Ensures express packages and packages requiring special handling (cold, frozen, etc) are processed correctly
  • Investigates un-addressed packages/mail
  • Provides general courier services to the site
  • Serves as liaison for tracking of packages/mail
  • Maintain documents, logs and/or prepare special reports services provided (e.g. mail/package volume and cost)
  • Assists the Operations Team by performing duties such as deliveries, day porter assistance, setup of large meeting/events, and light administrative duties
  • Ensures all policies, procedures, codes, guidelines, regulations, etc., are followed and enforced including safety systems and standards.
  • Ability to lift 55 lbs. (example: case of paper)

Experience

Required:
  • 2 years experience preferred

The compensation for the position is: $21.25 - $25.00
