Project Coordinator – Paving Group Primary Responsibilities
- Preconstruction & Project Setup
- Set up new projects in CMiC, ensuring accuracy in cost codes, budgets, and project structure.
- Assist Account Managers with creation, review, and entry of initial project budgets.
- Assist with creating and sending out subcontracts.
- Support contract and subcontract documentation, including compliance tracking and insurance requirements.
- Project Financials & Forecasting
- Maintain and update project budgets and forecasts within CMiC in collaboration with Account Managers.
- Track committed costs, change orders, and billings to ensure accurate financial reporting.
- Monitor project cost performance and flag variances or discrepancies for review.
- Generate and distribute monthly forecast and cost tracking reports for leadership review.
- Project Administration & Documentation
- Maintain project files and ensure documentation compliance per company standards.
- Support project closeout process by compiling completion reports, photo documentation, signoffs, and final documentation.
- Coordinate with internal departments to ensure all project data is complete and accurate prior to closeout.
- Assist with process improvement initiatives related to project coordination and CMiC workflows.
- Collaboration & Communication
- Serve as a liaison between account managers, operations, accounting, and project controls teams.
- Support Account Managers and Directors in ensuring alignment with company procedures and financial accuracy.
- Bachelor’s degree or equivalent years of experience, plus one year of work experience required in accounting/administrative support in the construction industry.
- Proficient in Microsoft Office Suite (Word, Excel, and Outlook).
- Experience with Salesforce and ERP systems.
- Communicate effectively both orally and through writing and work cooperatively in a fast paced, diverse team environment.
