AboutThe Role
We’re looking for a proactive, highly organized Administrative Specialist to join our St. Louis headquarters.
This position is designed as an entry point into Operations. You’ll begin by supporting daily administrative and customer service functions while learning how our sales, order management, accounting, inventory, warehousing, and distribution processes work together.
As you gain experience and demonstrate your ability to take ownership, the role will grow to include increasing responsibility for operational processes, reporting, problem-solving, and process improvement.
This is a great opportunity for someone who wants more than a traditional administrative position and is interested in building a long-term career in Operations, Supply Chain, or Business Administration.
What You’ll DoAdministrative & Customer Support- Support daily office operations and administrative functions
- Provide exceptional customer service by phone and email
- Process customer orders, documentation, and correspondence
- Maintain accurate records, reports, and filing systems
- Coordinate schedules, meetings, and company communications
- Assist with payment processing, invoicing support, and administrative accounting tasks
- Work closely with Sales, Operations, Accounting, Warehousing, and Leadership
- Learn and support order fulfillment and operational processes
- Assist with inventory, shipping, purchasing, and distribution-related activities
- Monitor order and customer information for accuracy
- Prepare and maintain operational reports
- Help identify issues and follow through on solutions
- Support cross-functional projects and process improvements
As you develop within the role, you will have opportunities to take on greater responsibility, including:
- Managing and improving operational processes
- Analyzing data and identifying trends or inefficiencies
- Coordinating activities between departments
- Taking ownership of specific operational functions
- Supporting inventory and distribution initiatives
- Developing and maintaining operational reports and procedures
- Participating in projects designed to improve efficiency and customer service
The goal is for this position to grow beyond administrative responsibilities into a broader Operations role based on performance, initiative, and business needs.
What We’re Looking ForRequired Qualifications
- Associate degree required;
Bachelor’s degree preferred - 2+ years of administrative, office support, customer service, or operations experience
- Excellent written and verbal communication skills
- Strong organizational skills and exceptional attention to detail
- Ability to prioritize multiple projects in a fast-paced environment
- Strong problem-solving and critical-thinking skills
- Proficiency with Microsoft Office, particularly Excel, Outlook, and Word
- Willingness to learn different areas of the business and take on increasing responsibility
- Experience with ERP, CRM, or order management systems
- Experience supporting accounting functions such as payments, invoicing, or reconciliations
- Experience in manufacturing, distribution, logistics, supply chain, or other B2B industries
- Interest in developing a career in Operations, Supply Chain, or Business Administration
- Experience working with reports, data, or process improvement
