Job Overview
This position provides administrative, operational, and educational technology support to the Office of Curricular Affairs (OCA) for all Year 1 courses in the School of Medicine (SOM), the SOM Evaluation Program, and other assigned committees and subcommittees. The role supports the coordination and delivery of the Year 1 medical school curriculum, including team‑based learning activities, peer instruction (PI) learning sessions, assessments, and educational program operations.
Key Responsibilities- Organize and distribute syllabi and course materials; support curriculum delivery and assessment processes; provide technology support for learning management, assessment, and educational systems.
- Troubleshoot software, hardware, and network‑related issues; serve as a key resource for students, faculty, and course directors.
- Represent the School of Medicine in communications with internal and external constituents, coordinate meetings and travel arrangements, maintain calendars, prepare correspondence and reports, and manage the distribution of instructional materials.
- Support exam administration activities—exam preparation, data entry, proctoring, monitoring, and coordination of assessment‑related processes.
- Provide daily educational technology and IT support for classroom and medical education systems used by the OCA, Office of Student Affairs, and Office of Admissions.
- Assist in the administration and support of educational systems and software (Canvas, OASIS, Exam Soft, Poll Everywhere, Smartsheet, and other MD Program‑related technologies); deliver technology training, demonstrations, and user support.
- Assist with lectures, symposiums, meetings, and educational events to ensure successful technology and operational support.
- Support the SOM Evaluation Program, SOM Preclinical Program, and Assessment Subcommittee through coordination, documentation, reporting, and meeting support.
- Review, maintain, and analyze curriculum and assessment‑related data to support reporting and operational decision‑making.
- Provide front‑office support—assist students, faculty, and visitors; answer telephone inquiries; distribute mail; prepare and distribute materials.
- Collaborate effectively with students, faculty, course directors, and administrative teams to ensure a high level of service and support.
- Perform other duties as assigned.
- Knowledge of administrative procedures, project coordination, and research techniques.
- Knowledge of higher education, academic affairs, curriculum operations, or educational program administration.
- Strong analytical, organizational, and problem‑solving skills with sound judgment and initiative.
- Exceptional attention to detail and accuracy in managing curriculum, assessment, and student‑related information.
- Ability to develop and maintain effective working relationships; coordinate multiple priorities; adapt to changing needs.
- Ability to learn new technology platforms and educational software systems quickly.
- Strong troubleshooting and problem‑solving skills; commitment to resolving issues promptly.
- Exceptional customer service, interpersonal, and communication skills; rapport‑building and active listening.
- Strong documentation and record‑maintenance skills; ability to multi‑task in a fast‑paced environment.
- Knowledge of relevant software, computer applications, instructional technologies, and classroom equipment.
- Highly self‑motivated, resourceful, and directed; demonstrated ability to support educational technology, learning management systems, and assessment platforms.
- Bachelor’s Degree in Administrative, Higher Education, Business, or a related field and 2–4 years of related work experience.
- A combination of education and experience will be considered.
- Experience supporting academic programs, higher education administration, educational technology, curriculum coordination, student services, assessment administration, or learning management systems is preferred.
