Job Description

JOB SUMMARY

Reporting to the Director, Alumni Engagement, the Assistant Director, Alumni Engagement is responsible for leading and directing operational activities, programs and/or communications strategies related to increasing alumni engagement with UMSL. This position will work closely with the Alumni Engagement team, campus partners and the UMSL Alumni Association volunteers to implement key alumni engagement programs that support the university's strategic goals.

PRIMARY RESPONSIBILITIES

Alumni Engagement & Relationship Development 35%

* Works with Director of Alumni Engagement to develop and execute strategically aligned alumni engagement plans utilizing a combination of data analysis and university priority setting resources.

* Collaborates with Advancement colleagues, faculty, and staff to develop and maintain alumni engagement and affinity programs within identified colleges and departments.

* Identifies alumni to participate in programs and attend events and coordinate follow-up with Alumni Engagement Officer.

* Identifies and refers alumni and friends to appropriate giving programs: annual giving, mid-level giving, major and planned gifts. In some cases, they may solicit alumni directly.

* Sources and applies new and emerging best practices and industry standards to achieve personal and team goals.

Alumni Event and Program Management 35%

* Plans events and activities that connect alumni to the University and to each other aligned with Campaign and Strategic Plan priorities.

* Leads Alumni Volunteer programming including identifying impactful volunteer opportunities across campus; works to communicate opportunities to and recruit interested alumni.

* Optimizes and works within a defined budget for events and programs, adhering to all UM System, UMSL, and Advancement purchasing policies. Tracks expenditures towards budget and submits and pays invoices and bills in a timely and accurate manner.

* Serves as liaison and leads assigned UMSL Alumni Association committees including setting agendas and meeting materials, writing and submitting meeting minutes and facilitating action items.

Planning, Performance & Execution 30%

* Participates in assigned university leadership-level meetings on campus and Alumni Association board meetings, with the ability to fully represent the Office of Alumni Engagement and the UMSL Alumni Association through effective meeting preparation, management, and communications.

* Prepares and delivers presentations to internal and external groups; articulates messages, ideas and information effectively in both written and verbal communications.

* Enters contact reports and other data into CRM in a timely and accurate manner. Critically evaluates data and pulls reports to utilize for decision making.

* Travels locally and regionally for alumni meetings and activities. Update project plans with status updates on assigned activities including escalating blocks to project managers as needed.

* Achieve annual performance goals in collaboration with the supervisor, demonstrating progress toward strategic engagement and advancement objectives.

As with all positions, other job-related responsibilities may be performed as needed to support departmental and campus-wide needs.

WORKING CONDITIONS &

PHYSICAL REQUIREMENTS

Work is performed in a variety of environments with regular interaction with alumni, current and prospective donors, and community leaders. The role requires travel, evenings, and weekends, and the ability to maintain professionalism and composure in potentially stressful situations. The position involves sustained attention, multitasking, decision-making, and clear judgement.

None

Shift

40 hours per week/M-F; some nights and weekends required.

Minimum Qualifications

"A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

* Strong organizational, project management and communication skills (both verbal and written); an ability to communicate complex issues and maintain open communication channels with relevant stakeholders.

* Proficiency with Microsoft applications (Word, Excel, PowerPoint).

* High level of initiative, proven ability to work independently, attention to detail, good time-management skills and ability to work within deadlines.

* Ability to maintain confidentiality around sensitive and private data.

* Ability to take direction and work collaboratively within a team and university setting.
