The Leave of Absence (LOA) Advisor is responsible for the strategic oversight and daily administration of Genuine McCarthy Enterprises’ leave of absence programs, including but not limited to family, disability, parental, military, and personal leaves. This role ensures compliance with all applicable federal, state, and local regulations, as well as internal policies and practices across the enterprise.
The LOA Advisor serves as the primary subject matter expert for leave and time-away programs, providing guidance and support to employees, managers, HR partners, and business leaders. The position is also responsible for vendor management, process optimization, reporting, and enhancing the employee experience related to leave administration.
Position PurposeThis position exists to:
- Strengthen organizational effectiveness by identifying and implementing best practices in leave management and ADA accommodations.
- Administer and oversee all leave of absence programs across Genuine McCarthy Enterprises, including FMLA, ADA, short-term disability (STD), long-term disability (LTD), parental leave, personal leave, and other statutory or company-sponsored programs.
- Ensure compliance with the Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), HIPAA, state-specific leave laws, and related employment regulations.
- Serve as the primary point of contact for employees, managers, and HR Business Partners regarding leave eligibility, processes, documentation, timelines, and case status.
- Act as a subject matter expert to HR Business Partners and leaders on the ADA interactive process, including interpretation of medical information (as provided), documentation requirements, and accommodation options.
- Partner closely with Payroll, Benefits, Legal, and external vendors to ensure accurate administration of benefits and pay continuation during leaves, aligned with GME policies and plan provisions.
- Maintain, update, and audit leave records, case management systems, and supporting documentation in compliance with organizational policies, retention standards, and regulatory requirements.
- Develop, analyze, and distribute routine and ad hoc reporting on leave utilization, trends, program effectiveness, compliance, and workforce planning.
- Identify opportunities to streamline processes and implement best practices that support an efficient, compliant, and employee-centered leave and accommodation experience.
- Design and deliver training, reference materials, and tools for employees, managers, and HR staff on leave policies, procedures, and compliance obligations.
- Serve as a liaison between employees, external vendors, and internal stakeholders to promptly resolve issues and reduce friction in the leave experience.
- Support internal and external audits by ensuring the accuracy, completeness, and accessibility of all leave-related documentation and records.
- Lead, mentor, and develop leave administration staff as the function grows and organizational needs evolve (future potential responsibility).
Education & Experience
- Bachelor’s degree in Human Resources, Business Administration, or a related field; or an equivalent combination of education and relevant experience.
- Minimum of 5 years of progressive experience in leave of absence administration, disability management, or related HR functions.
- Prior supervisory or managerial experience strongly preferred, particularly in a shared-services or multi-location environment.
- Demonstrated expertise in FMLA, ADA, HIPAA, and multi-state leave regulations. Strong proficiency with HRIS platforms, leave case management systems, and data/reporting tools (e.g., dashboards, case tracking, metrics).
- Exceptional written and verbal communication skills, with the ability to explain complex leave and accommodation concepts in a clear and empathetic manner.
